Located at Stennis Space Center, Mississippi, the NASA Shared Services Center?s (NSSC) mission is to provide timely, accurate, high quality, cost-effective, and customer-focused support for selected NASA business and technical services.  GDIT, which is the prime contractor, has partnered with NASA to consolidate selected Procurement, Finance, Human Resource and Information Technology activities from the ten NASA Centers into a single shared services center. 

GDIT is currently searching for a Sr. Executive Admin to support service office managers at the NSSC.

Essential Job Functions:

  • Provides Senior level administrative support. 
  • Uses greater judgment and initiative to determine the approach or action to take in non-routine situations, interprets and adapts guidelines, including unwritten policies, precedents, and practices, which are not always completely applicable to changing situations. 

Duties include or are comparable to the following:

  • Based on knowledge of the supervisor's views, compose correspondence on own  initiative about administrative matters and general office policies for supervisor's approval; anticipate and prepare materials needed by the supervisor for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs supervisor on matters to be considered; read publications, regulations, and directives and take action or refer those that are important to the supervisor and staff.
  • Prepare special or one- time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general directions.
  • Provides complex, specialized administrative support such as maintaining databases, compiling and analyzing data, preparing advanced MS PowerPoint presentation support when needed.
  • Advise secretaries in subordinate offices on new procedures.
  • Reserves conference rooms and schedules meetings.
  • Records minutes during meetings.
  • May assist in creating pertinent department documentation for employees.
  • Answers incoming calls, researches and responds to inquiries and escalates and/or routes calls to appropriate personnel as necessary.
  • Request information needed from the subordinate office(s) for periodic or special conferences, reports, inquiries, etc., and shifts clerical staff to accommodate workload needs.
  • Establishes appointments and maintains the Manager?s calendar using MS Outlook and Lotus Notes
  • Coordinates Travel arrangements for Manager and employees that require upper management approval.  Ensures accuracy of travel dates and reserves appropriate accommodations to facilitate travel convenience for concerned parties.
  • Processes expense reports.
  • Assist with special projects involving preparations for customer and senior management meetings.
  • Maintains office and computer supply inventory for the department; orders supplies as needed to ensure adequate supply. 
  • Orders specialized supplies such as business cards.
  • Contacts service personnel for service on office equipment to ensure continuous service.
  • Performs other administrative duties as assigned

 

Basic Qualifications:

  • High School Diploma
  • Eight or more years of administrative assistance experience
  • Experience working with administrative practices and procedures
  • Experience working with writing styles such as grammar, sentence form and structure
  • Expertise in MS Office Suite, particularly Excel, PowerPoint, Word and Outlook
  • Must have NSSC prior work experience

  • Strong office equipment skills such as faxing and copying
  • Strong personal computer skills
  • Strong communication and interpersonal skills for communicating with internal and external personnel of all levels
  • Strong organizational skills to balance work and prioritize tasks
  • Strong skills in utilizing presentation and database software and preparing presentations
  • Ability to keep sensitive and confidential material private
  • Ability to work independently and with minimal supervision
