Position Summary: The Proposal Coordinator and Administrative Support position assists the Director of Proposal Operations in managing proposals and assigned business development administrative support task. The proposal coordinator works closely with business personnel to develop timely, high-quality, and competitive marketing proposals. Proposal coordinators may specifically be required to direct the layout, formatting, design, and presentation of proposals.
Planning, coordination, development, and production of proposals.
Preparing marketing literature and other externally targeted products aimed at capturing business.
Presentation development and graphic support.
Preparing the proposal compliance matrix, annotated outline, and schedule in accordance with established proposal development processes and procedures as well as specific solicitation requirements.
Schedule and coordinate Business Development pipeline reviews
Schedule and monitor proposal development activities and to ensure that the proposal properly incorporates established win strategies and themes.
Responsible for Administrative tasks including maintain performance metrics, generating weekly and monthly reports, developing and processing expense reports and other duties as assigned.
? Experience coordinating full proposal lifecycle on multiple IDIQ Task Orders over the course of a year.
? Experience using opportunity research tools such as GovWin, Bloomberg, etc. as well as opportunity notification sites such as FedBizOps, and customer specific sites.
? Knowledge of Business Development lifecycle process including Opportunity Identification, Qualification, Bid and Proposal.
? Experience maintaining pipelines and managing bid reviews for all BD and proposal opportunities at various stages.
? Experience with CRM and government contracting pipelining and sales tools including, GovWin, SalesForce.
? Advanced knowledge of the principles, methods, and practices associated with proposal development in a government contracting environment including proposal organization and templates, storyboarding and strategy and ?rainbow? reviews.
? Desire to work with customers (internal and external) and support marketing initiatives including development of collateral materials and supporting trade shows and conferences.
? Demonstrated effective written communication skills.
? Ability to work quickly, efficiently, and effectively with little or no supervision.
? Ability to prioritize numerous complex tasks and organize workload in order to meet stringent deadlines.
? Knowledge of, and experience with, computer software necessary to perform responsibilities (e.g., MS Office, graphics, SharePoint, etc.)
Crucial Requirements and Abilities:
3 years of Proposal Coordination / Technical Writer experience supporting proposal and/or program teams
·Demonstrated proficiency with Microsoft office suite tools (MS Word, Power Point, Excel)
·Demonstrated experience synthesizing data into information and have attention to detail
·Possess excellent customer service skills, professional presence, and issue resolution skills
·Demonstrated excellent verbal and written communications skills
·Demonstrated experience interacting with senior levels of leadership effectively
·Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced, customer oriented, and deadline driven environment
Demonstrated experience interpreting proposal preparation instructions and developing documentation procedures.
Able to multi-task; be a team player who can interact with PMs, Directors, and SMEs from diversified technical, functional, business and cultural backgrounds
Must have solid documentation and writing skills
Be energetic and enthusiastic with a ?can do? attitude
