Provides Administrative and Facility Support


  1. Performs a variety of general administrative and facility tasks, in support of the day-to-day operations. These include preparing reports and correspondence, coordinating conference/meeting arrangements, filing, sorting/distributing mail as well as, provide back-up support for any facility maintenance issues. 
  2. Compiles and analyzes various contract, program, and financial data using various database programs, and prepares monthly status reports based on the results.
  3. Collects and inputs time-sheet information into automated accounting system.
  4. Processes invoices for consultants and subcontractors.
  5. Serves as alternate POC for the office or group on issues related to accounting, human resources, IT, purchasing, and other departments, as well as external contacts such as customers, vendors, and subcontractors.
  6. Participates in special projects as required.
  7. Must be clearable for a DoD(SECRET or higher) Security Clearance.  U.S. Citizenship required.




Position requires flexibility within a 20 hour work week.


  • Administrative support to Facility Manager and Site Manager
  • Administrative support to the site using Microsoft Word, Excel, Outlook and PowerPoint
  • Provide front desk reception coverage, visitor control and escorting
  • Cross check all foreign visitors against the approved list provided by our FSO team
  • Issue appropriate visitor badges to all site visitors 
  • Maintain Visitor Logs and Rosters for Meetings, providing a record of all visitors
  • Provide setup and take-down for recurring meetings with AV and VTC setup and assistance as required
  • Order and stock office supplies, alternate POC
  • Distribute mail and USPS/UPS/FedEx packages
  • Prepare outgoing FedEx shipments
  • Process Invoices for payment
  • Assist onsite customers with emergent requirements, issues and requests
  • End of Day lockup: secure doors, alarm, lights
  • Monitor Visitors
  • Maintain and supply: copy room, fax machine and kitchen
  • Manage Conference Schedule, usage requests and support requirements
  • Maintain the cleanliness and readiness of all Conference Rooms and Team Rooms
  • Preparation and distribution of monthly usage reports for all conference rooms
  • Receipt, tracking and distribution of all incoming packages and supply shipments
  • Management of shipping supply inventory
  • Parking invoice management back-up support: Validation stamps and monthly parking passes
  • Security Monitoring, during work hours
  • Badge and Access Control, backup
  • Alarm responses, primary responsibility
  • Monitoring of Visitors, primary responsibility
  • Key Control, backup
  • Backup for opening the office: open doors, turn off burglar alarm, lights, start up kitchen services



1-3 years of related administrative experience.
