Job Description:

The IDS System Validation Test & Analysis Directorate (SVTAD) is seeking an administrative assistant to support business operations for the Department managers, as well as the overall team. This role will perform a wide range of administrative duties that will assist organizing, scheduling, and prioritizing day to day activities. This position is responsible for coordinating travel and submitting travel expenses. Other duties include handling office administrative tasks in a timely manner and composing reports, charts, and presentations to include inter-office correspondence and emails. The candidate would be expected to manage the leader’s calendar, as well as screen calls and emails to assist the leader in effectively managing time, dates, commitments, and schedules. Additionally, this position will also authorize and maintain visitor requests, and escort personnel within the area. The administrative assistant will provide cross-functional support during periods of heavier activity. This requires the person to be able to work well in a diverse team environment. To be successful the ideal candidate will work with minimal supervision, propose solutions to problems, and have excellent communication and interpersonal skills.

Additional responsibilities include but are not limited to the following:

  • Expense report reconciliation.
  • Preparation of travel arrangements and travel briefing documents.
  • Generate charts, tables, memoranda, reports, correspondence and other material with speed and accuracy.
  • Prepare, edit and format documents, presentations and spreadsheets.?
  • Scheduling and organization of conference calls and meetings.?
  • Basic research, data compilation and database maintenance for projects and documents.?
  • Review and edit outgoing correspondence/staff documents for accuracy and compliance with established policies and guidelines.
  • Support to hiring activities, including coordinating individual and larger hiring activities
  • Support to onboarding new employees, coordination of start dates, required paperwork
  • Orders and arranges for office-supplies, catering, and/or meeting rooms according to business need in a timely and effective manner.

Required Skills:
  • Minimum of 6 years’ experience in a similar role as a program/project coordinator.
  • Strong administrative, organizational, computer and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Internet browsers.
  • Ability to multitask effectively.
  • Able to work with minimal supervision and must have sound judgment.
  • Must be reliable, organized, flexible and detail oriented. A team player.
  • Must-have excellent written and verbal communication skills.
  • Demonstrate high standard of professionalism.
  • Experience in managing a calendar, scheduling and coordinating meetings, arranging travel, creating expense reports for staff and being able to compile and prepare data reports.
  • Obtain a security clearance; except in rare circumstances, only U.S. citizens are eligible for a security clearance.


Desired Skills:

  • Excellent written and oral communication skills, including excellent phone skills and the ability to maintain confidences.
  • Knowledge of company policies and procedures specifically ITAR and EXIM guidelines and procedures
  • Associate's Degree in related discipline and/or Professional Certification in Executive Administrative role
