Job Summary
The Project Administrator is responsible for coordinating the daily operations of the assigned program/project.  Collects, produces and maintains program control documents and provides general to complex financial, clerical, and accounting services.


Principal Accountabilities
(Typical duties include the following, although specific duties vary by assignment or contract.)

  • Maintains budgets and performs basic analysis of budgets and plans. Maintains accurate daily accounting and other revenue and gathers financial data for reporting.
  • Provides support and coordination for the assigned program. Codes and tracks all actions for AP activity.
  • Coordinates Tasks and Milestone follow up. Maintains project management plans, project statistics and program objectives.
  • Serves as billing liaison with Accounts Payable.
  • Coordinates program activities to include scheduling of conferences and meetings, preparation of background materials, training documents, attending meetings and recording of proceedings as directed.
  • Coordinates program other direct costs (ODC) logistic, material, and travel.
  • Compiles, formats and distributes periodic reports and maintains records.
  • Maintains project database and performs administrative duties.
  • Performs other duties as assigned.

Knowledge & Skills

  • Experience in creating project plans.
  • Ability to interact effectively at all levels of the organization.
  • Excellent organizational skills, along with strong communications skills.
  • Ability to word independently, coordinate and prioritize multiple projects/requests simultaneously.
  • Understanding of general business principles and practices, and experience working in a corporate setting.
  • Working Knowledge of Microsoft Project.
  • Proficiency with Microsoft applications (e.g. Word, PowerPoint, Excel, SharePoint).
  • Additional knowledge/skills may be required by assignment or contract and will be listed separately.

Experience & Education

  • High School Diploma required.
  • Four (4) years of administrative/project experience to include at least one (1) to two (2) years with assigned program.
  • Additional experience/education may be required by assignment or contract and will be listed separately.

Physical Requirements/Working Environment

  • Works in normal office environment with controlled temperature and lighting conditions.


  • 10% travel for program stand-ups and shutdowns.
