The Executive Assistant Specialist will directly support the Vice President of Global Communications and Corporate Affairs additionally the role supports the Waltham based communications leadership team. Responsibilities include interaction with senior level internal and external contacts, exposure to confidential and sensitive information and understanding of company operations, policies and procedures.
Responsibilities include but are not limited to:

  • Manage calendars, meeting schedules and coordination with senior level internal and external customers
  • Coordinate domestic/complex international travel arrangements and complete expense reports and process necessary security for international travel.
  • Coordinate and host customer visits, as well as support visiting executives
  • Coordinate team meetings including set up and technology.
  • Input and retrieve data from various company systems and applications, e.g., shared RSpace, eRooms, Media Logs, eNews distribution logs
  • Generate charts, tables, memoranda, reports, correspondence, and other materials with speed and accuracy
  • Status action items, ensuring deadlines are met
  • Establish detailed knowledge of the Raytheon Leadership Team members, center locations, and assigned positions; develop and maintain excellent working relationships and communication channels with other executive assistants
  • Manage and maintain corporate publications and subscription database
  • Order and maintain office supplies
  • Assist with onboarding new employees/transfers into communications department
  • Frequent overtime may be required

Required skills:
  • A minimum of 10 years professional administrative experience with demonstrated experience supporting a senior executive in a large organization
  • Demonstrated experience with calendar management, meeting scheduling and coordination, travel preparation and preparing/reconciling expense reports
  • Ability to work with minimal supervision in a fast paced environment prioritizing the needs of multiple executives.
  • Proactively responds to questions, concerns, and requests for information and resolves issues in a timely manner
  • Proven experience working in a team environment and experience with project coordination
  • Demonstrated ability to anticipate requirements/actions
  • Excellent verbal and written communication and interpersonal skills
  • Expert with Microsoft Office Suite tools (MS Word, Power Point, Excel)
Required education:
  • High School diploma required
