    Job Description:

    The Global BD Human Resources Specialist/Executive Assistant provides executive level administrative support to the Sr. Director Human Resources & Security, Global Business Development and team members and performs a variety of transactional HR tasks. Major responsibilities include but are not limited to providing direct administrative support to the Sr. Director and HR team, scheduling meetings and travel, coordinating new hire onboarding, processing HR transactions in SPEED, and hosting visitors on site.

    Responsibilities include, but are not limited to:
    • Represent GBD HR by effectively communicating and establishing rapport with Executive-level leaders across the Enterprise
    • Prioritizes direction from multiple sources and handles multiple administrative tasks simultaneously
    • Manages calendars and schedules for HR Sr. Director and team members, including arranging meetings and conferences
    • Tracks and processes expenses and travel both domestic and international and processes vendor payments
    • Provides administrative and HR transaction process improvement suggestions as needed and manages correspondence, including email management and memo preparation
    • Uploads documents into electronic personnel files (SPEED)
    • Generates basic charts, tables, reports and other materials with speed and accuracy
    • Provides backup support to Office of General Council VP and Executive Office
    • Interfaces with other Raytheon businesses and functions, external consultants and suppliers as needed
    • Processes transfers, new hires and terminations; prepares and distributes related notifications
    • Prepares schedules for biweekly orientation including correspondence for the incoming employee, manager and orientation team
    • Maintains personnel file room and orders supplies in preparation for upcoming meetings and presentation
    • Able to work with minimal direction or guidance, self-motivated and pro active
    • Experience managing electronic documents in local file shares
    • Manages office supplies and products
    • Other duties as assigned

    Required skills:

    • High school diploma, secondary school or equivalent with 8 years of experience
    • Proficient in Microsoft Word, PowerPoint, Outlook and Excel
    • Expert-level verbal and written communication skills
    • Demonstrated ethical and discreet handling of highly confidential and non-routine information
    • Demonstrated accuracy and timeliness in expense reporting for multiple team members
    • Prior success in balancing and prioritizing actions from multiple team members
    • Ability to work collaboratively and collegially in a high stress environment
    • Consistent ability to work independently with minimal supervisory direction
    • Strong organizational and time management skills, with demonstrated ability to multi-task and operate effectively in a high visibility and high stress work environment
    • Organizational skills, judgment, time management skills and the ability to meet deadlines
    • Ability to have a flexible work schedule and accommodate for overtime as needed

    Desired Skills:

    • 8 years of progressive experience as an administrative professional or related occupation, with preference given to experience supporting senior executives as an executive administrator
    • Experience setting up large scale meetings including VTC, catering, visitor coordination, and transportation scheduling
    • Experience with Raytheon HR Systems, including entering HR Transactions in SPEED and pulling HR Reports
    • Knowledge of Raytheon operations and systems; broad familiarity with Raytheon‚Äôs customers and company structure
