Job Description:
The Precision Indirect Fires (PIF) Program is seeking to hire an Executive Administrative Assistant, which is located in Tucson, Arizona at Missile Systems. This position assists the program director and direct staff of the PIF program. The role provides executive level administrative support and oversees and administers the day-to-day activities for the director of the PIF Program Office. This position requires the ability to act independently, prioritize multiple tasks, and anticipate the needs of the program leaders including the geographically dispersed program managers. In addition, this person must have the ability to exercise discretion and handle sensitive and confidential information. This role requires a strong proficiency in MS Office tools, process and procedures.


Responsibilities include, but are not limited to:

  • Serve as primary liaison between directors and other staff members within the program, product line and other locations
  • Manage workflow for program director to include: maintaining schedule of appointments and prioritize level of importance; answer questions and resolve concerns, answering telephone calls and managing messages; plan domestic and international travel; prepare expense statements; and perform various tasks specific to the director and his staff
  • Plan and coordinate events, meetings, customer and supplier visits to include conference room reservations, teleconferencing, catering services and video conference
  • Coordinate materials prior to meetings/events and set up pre-briefs
  • Work effectively in a fast paced office with minimal supervision and demonstrated experience problem solving and multi-tasking
  • Have the ability to promote and sustain a favorable Company image while interacting with visitors and customers. This includes an executive presence at all times and effective communication with leadership, customers, suppliers, and visitors
  • Understand and comply with Raytheon policies and procedures and security functions
  • Work with building Environment Health and Safety (EHS) Council and Program Security Manager
  • Ability to plan and execute major events to include internal and external customers such as a Program Management Review
  • Cover for other administrators in their absence

Required Skills:
  • HS diploma and 6 years of administrative work experience
  • Excellent communication skills, oral and written communication
  • Attention to detail, ability to work independently with minimal supervision, and adapt to changes in priorities in a fast paced environment
  • Highly proficient in the use of Microsoft Outlook and Microsoft Office tools including; PowerPoint, Word and Excel programs
  • Proven success working in a team environment
  • Must demonstrate high degree of professionalism in behavior and manner

Desired Skills:
  • Previous program office experience and at least 2 years of Raytheon administrative experience
  • Proactive, flexible and demonstrate initiative
  • Strong interpersonal skills
  • Knowledge of US government export-import regulations and associated Raytheon policies/procedures
  • Proficient in use of security clearance transfer systems to external customers, supplier and test facilities
  • Familiarity with Raytheon company policies, procedures, forms and processes
  • Proficiency with the Raytheon Proprietary Awards and Recognition System, Visitor Request System and PRISM (for international shipping requests)
