Job Purpose

The Portfolio Office is the information hub for projects and programs within the ISD portfolio and involves portfolio management activities, such as; project prioritisation, tracking/reporting, assurance/quality control, information management, financial tracking, project support and knowledge management/learning from experience. The Portfolio Office will add value through the knowledge, skills and experience of its staff.

The Project Analyst is an integral member of the Infrastructure Solution Delivery (ISD) team and is responsible for assisting in the coordination of various activities associated with the projects assigned to the team. The Project Analyst is a central resource, that will be embedding into active projects to support delivery, ensuring time, cost and quality standards are met. As examples, responsibilities will include, but not be limited to, the following:

 

  1. Tracking of various aspects of project development and execution
  2. Providing advice & guidance on ISD framework & processes
  3. Assist in the development of key project related deliverables assigned by the Project Manager.
  4. Perform logistical support to the project managers.
  5. Develop other project related processes and artefacts assigned by the project manager

Key Accountabilities

 

  • Assist in the development of project status, program board and / or steering committee material
  • Supporting the monthly financial process
  • Assisting with maintaining the project plan and RAID log in Microsoft Project Online
  • Provide a central point of accountability for coordinating and processing invoices.
  • Effectively and accurately communicate relevant project information to the project team and external parties.
  • Assist in the development of the closure paper and associated proceedings.
  • Implements governance standards for the project
  • Tracking of status of project deliverables and milestones;
  • Supporting the adoption of the project lifecycle and deliverables;
  • Advising project risk and issue co-ordination;
  • Co-coordination of project Governance arrangements, Post Project Reviews & workshops
  • Co-ordination of publications, review and sign-off of Project Management deliverables
  • Schedule/coordinate activities to include meetings, teleconferences, videoconferences, etc.
  • Participate in both internal and external meetings, keeping accurate notes and distributing meeting minutes as appropriate.

Qualifications

  • A Bachelor's degree and more than 3+ years of related experience OR in lieu of a degree, equivalent work experience.
  • Must have recent Project Analyst experience
  • Demonstrated proficiency with the MS Office Suite of products is a must
  • Experience in fact finding including knowledge and understanding of where to find and how to present relevant information.
