Chronicle Heritage is seeking a motivated Billing Specialist to join our growing Accounting team. Team members fulfilling this role will play a crucial role in ensuring the smooth and efficient operation of our accounting and payroll processes. You will work closely with the Accounting and Sales teams to ensure accurate and timely client billing and maintain accounting records. The candidate should be organized, detail-oriented, self-motivated, able to handle confidential information, as well as a demonstrated ability to collaborate with others and provide excellent customer service.
Hire Type: Full-time (hourly)
Schedule: 40 hours, Monday–Friday
Location: Hybrid - at home office and local Phoenix, AZ Office

Responsibilities
- Prepare monthly client invoices, ensuring compliance with contract under the direction of Project managers.
- Collects all backup for invoices when needed.
- Reviews and reconciles specialty invoices (Caltrans, government funded projects, DOT).
- Tracks and reports to Project Managers project budget versus actuals.
- Understands Job cost accounting and Work-in Progress.
- Reads and thoroughly understand contracts and amendments, updates record as assigned.
- Performs other duties as assigned.
Required Qualifications
- Associate degree or higher
- 2+ years of experience in accounting
- 5+ years of experience in Project Billing with the CRM (Cultural Resource Management) or A/E (Architecture or Environmental) Industries
- Proficiency with Microsoft Office Suite Applications (Word, Excel, PowerPoint, Outlook, Project).
Preferred Skills
- Bachelor's degree
- Knowledge of and working experience using Sage Intacct
- Experience using Sales Force (CRM)
- Advanced analysis and problem-solving skill
- Ability to work under pressure with tight deadline
- Ability to work with minimum direct supervision
Physical And Mental Requirements And Work Environment
- Vision is required to observe environmental phenomena and record and translate observations into text (either keyboard entry on a computer or dictation and audio translation of recording to Standard English scientific text).
- Mental requirements include ability to organize one's own work or that of crew members; ability to recognize and observe scientific data and analyze data as well as ability to perform calculations. Must also be able to observe social and professional interactions and respond appropriately.
- Some work is performed primarily in an indoor environment and requires sustained sitting and use of fingers, hands, and arms to operate a computer and perform keyboard entry of data or document preparation (or equivalent with accommodation). Must also be able to operation standard office equipment (phone, copy machine, FAX machine, etc.)
