Description

The Orange County / Inland Empire Small Business Development Center Network is a federal program partially funded by the U.S. Small Business Administration & the California Governor’s Office of Business & Economic Development. The SBDC is hosted by CSU, Fullerton. The purpose of this grant is to provide no-cost technical assistance to entrepreneurs and small business owners in Orange County. The SBDC is seeking applications for Center Operations and Client Engagement Specialist. Under the direction of the CSUF SBDC Director, the Center Operations and Client Engagement Specialist plays a key role in supporting the daily operations, client experience, and program coordination of the CSUF SBDC. This position serves as a primary point of contact for clients, ensuring a seamless intake, onboarding, and engagement experience. The Specialist supports consultants, coordinates programming and events, and assists the Director with center operations and special projects. This role requires strong organizational skills, professionalism in client-facing interactions, and the ability to manage multiple priorities in a dynamic environment.

Essential Duties

Client Engagement & Service Coordination

  • Serve as a primary point of contact for prospective and existing clients
  • Respond to phone and email inquiries from the public, stakeholders, and business owners
  • Conduct client intake conversations and facilitate onboarding into the MIS/EDMIS system
  • Coordinate client-consultant matching
  • Ensure clients are scheduled appropriately and receive timely follow-up
  • Maintain accurate and current client records within database systems
  • Monitor intake pipeline to ensure timely movement of clients through the system
  • Provide overview presentations of SBDC services at orientations and workshops
  • Represent the center at outreach events, trainings, and community meetings

Center Operations & Program Coordination

  • Maintain MIS and EDMIS systems and serve as internal technical resource for staff
  • Facilitate onboarding of new consultants (systems access, procedures, documentation requirements)
  • Provide guidance to consultants regarding documentation standards and client record requirements
  • Organize and coordinate trainings, workshops, and center events
  • Ensure program deliverables are executed according to network standards
  • Coordinate timelines for program launches and promotional campaigns
  • Maintain master calendar for center programming and outreach activities
  • Set up registration portals, Zoom sessions, event logistics, and related materials
  • Organize and prepare materials for quarterly and monthly meetings
  • Coordinate program promotions and event-related communications
  • Prepare agendas, training materials, and documentation for internal and external meetings
  • Provide administrative and operational support to the Director and team of consultants
  • Assist with center-related projects and special projects./initiatives as assigned
  • Manage office inventory, maintain promotional materials, place orders, and verify receipts
  • Standardize templates, communication flows, and onboarding materials
  • Assist Director in preparing partnership briefing materials

Marketing & Outreach Support

  • Develop and deploy email marketing campaigns aligned with network policies
  • Assist in execution of traditional and digital marketing campaigns
  • Coordinate event promotion including flyers, graphics, and outreach communications
  • Update mailing lists and maintain database accuracy
  • Proofread, format, and finalize promotional materials, training content, and communications

Compliance & Documentation Support

  • Ensure client files and training documentation are properly maintained in accordance with SBA and network standards
  • Review training documentation for completeness and compliance
  • Manage survey processes to collect client satisfaction, needs assessments, and impact data
  • Coordinate post-training surveys and follow-up communications

Additional Responsibilities

  • Support cross-functional collaboration within the OCIE SBDC network
  • Perform other duties as assigned

Qualifications

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience working within CRM or database management systems (MIS/EDMIS preferred)
  • Strong written and verbal communication skills with the ability to professionally engage with clients, consultants, community partners, and stakeholders
  • Demonstrated ability to manage multiple priorities, coordinate complex schedules, and independently oversee operational processes in a fast-paced environment
  • Experience in client-facing roles requiring sound judgment, discretion, and problem-solving skills
  • Ability to identify operational inefficiencies and recommend practical process improvements
  • Strong organizational skills with high attention to detail and commitment to data accuracy and compliance standards
  • Ability to troubleshoot technical and administrative issues related to systems, events, and client coordination
  • Demonstrated professionalism and confidence in representing an organization at meetings, workshops, and outreach events

PREFERRED QUALIFICATIONS:

  • Fluent in Spanish, Vietnamese, and/or Korean.
  • Strong interpersonal and communication skills and proficiency with computers and web-based research.
  • Prior experience working within the business community.

EDUCATION:

  • Minimum Bachelor's degree in a business-related field

PHYSICAL DEMANDS:
