Brief Description

The Grant Administrative Assistant provides comprehensive administrative and operational support for the Pathways FORWARD Consortium, a five-year, $10M Lilly Endowment–funded initiative led by Fuller Theological Seminary. The Consortium advances a digital-forward transformation of theological education through shared services, co-developed curriculum, and institutional capacity building among evangelical, Hispanic-serving, and historically Black theological institutions. This role supports a complex, multi-year grant by coordinating logistics, documentation, communications, and financial tracking in collaboration with the Program Director and Fuller Seminary offices.

 

Essential Functions

  • Provide administrative and scheduling support to the Program Director
  • Coordinate logistics for meetings, convenings, trainings, and travel
  • Assist with budget tracking, invoice processing, and expense reconciliation
  • Maintain accurate administrative and financial records for grant compliance
  • Support preparation of materials for grant reporting and evaluation
  • Manage shared documents, contact lists, and project timelines
  • Perform other duties as assigned

Knowledge and Skills Required

  • Bachelor's degree or equivalent required
  • 3-5 years of administrative or project support experience, preferably in higher education or non-profit settings
  • Strong organizational skills with attention to detail and deadlines
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a collaborative environment
  • Proficiency with standard office and virtual collaboration tools

Physical Requirements: 

  • Able to sit or stand for up to 8 hours at a time
  • Requires repetitive motions and sitting at a computer keyboard
  • Able to read, take notes, and view a computer monitor

Additional Remarks

  • Must be willing to abide by Fuller Community Standards
  • This is a hybrid position. While this role has the ability to work from home, there may be some days the role will need to work out of the Pasadena, CA campus

Pay Scale

  • Hourly rate the seminary expects to pay: $22 - $24.04 per hour USD
