Overview
The Maintenance Coordinator schedules all maintenance construction. This position ensures work requests are processed efficiently, well-organized, and communication flows smoothly between contractors, customers, and internal teams. The ideal candidate is detail-oriented, proactive, and skilled at keeping a busy department running seamlessly.
Responsibilities
- Receive, prioritize, and assign maintenance work orders to appropriate technicians.
- Track progress of open work orders and ensure timely completion.
- Schedule preventive maintenance tasks and update calendars accordingly.
- Coordinate access to facilities, equipment, and work areas as needed.
- Maintain accurate records, logs, and documentation for all maintenance activities.
- Prepare reports on work order status, equipment performance, and maintenance metrics.
- Assist with inventory tracking, including ordering supplies and managing stock levels.
- Process invoices, purchase orders, and vendor documentation.
- Serve as the primary point of contact for internal staff regarding maintenance requests.
- Communicate with external vendors to schedule service calls and obtain quotes.
- Provide updates to leadership on maintenance priorities, delays, or issues.
- Support onboarding and administrative needs for maintenance team members.
- Assist with maintaining compliance records for inspections, certifications, and audits.
- Other duties as assigned.
Qualifications
JOB SPECIFICATIONS:
- Bilingual – English/Spanish a plus
- Experience in an administrative, facilities, or maintenance support role.
- Strong organizational and multitasking abilities.
- Excellent communication and customer-service skills.
- Proficiency with office software and maintenance management systems (CMMS).
- Ability to work independently and manage shifting priorities.
