LOAN DOCUMENT AND COLLATERAL MANAGER POSITION SUMMARY

The Loan Documentation and Collateral Manager is responsible for understanding the daily routines of the department. In addition, this position will oversee and perform all the functions and processes of preparing compliant loan documents, collateral filings and management and document imaging while maintaining the quality of the bank’s electronic loan documentation.

LOAN DOCUMENT AND COLLATERAL MANAGER ESSENTIAL DUTIES AND ACCOUNTABILITIES

  1. Oversee and provide work direction to all team members in the Documentation Preparation and Collateral Specialist departments
  2. Maintains expert knowledge of commercial loan document requirements by loan type and structure (e.g., renewals, new money, modifications/extensions, lines of credit, term loans, participations, construction, and entity borrowing).
  3. Supervise all aspects of loan documentation and collateral servicing, including the maintenance of loans, requests for compliant loan documents, collateral management, post-closing functions, Verification of due diligence for Ag/Commercial loans, collateral perfection, and document imaging.
  4. Identifies missing, incorrect, or inconsistent documents and determines what is required vs. not required based on deal structure (collateral, entities/guaranties, titling/ownership, insurance, and lien perfection method).
  5. Maintains expert knowledge in the Loan Imaging system and all processes within.
  6. Performs quality control to ensure documents meet bank standards for enforceability, accuracy, and compliance (names/vesting, legal descriptions, perfection requirements, signatures, notary acknowledgments, and dates).
  7. Answer questions for co-workers in written form, by telephone, or in person, pertaining to electronic files, and prepare loan documents
  8. Complete scheduling for team members
  9. Resolves documentation exceptions through proactive follow-up with lenders, loan assistants, closers, or third parties.
  10. Plan, organize, and delegate workload among staff and create an environment where teamwork is encouraged.
  11. Responsible for communicating policy and procedures to ensure the loan staff are provided with procedural changes and appropriate training.
  12. Partners with lending, credit, loan operations, collateral, and compliance teams to ensure documentation requirements are understood and met.
  13. Supports continuous improvement by identifying recurring gaps, training needs, and process enhancements.
  14. Work closely with the Credit Department and the VP Loan Operations Officer to ensure all departments are in sync. Work together to update procedures as needed. 
  15. Compile and review various reports on a daily, weekly, monthly, or as-needed basis.
  16. Working knowledge of accounts, GL balancing, and reconciliations. 
Requirements:

LOAN DOCUMENT AND COLLATERAL MANAGER ROLE QUALIFICATIONS:

Education

  • High school diploma or equivalent required

Experience

  • 2+ years of experience in commercial loan documentation, loan operations, commercial closing, collateral perfection, or a related banking role.
  • Laser Pro experience preferred
  • 2-4 years of leadership experience required

Other Skills and Abilities

  • Advanced experience with complex commercial structures (entities, multi-collateral deals, participations, construction, renewals/modifications).
  • Familiarity with UCC filings, real estate secured lending documentation basics, insurance requirements, and collateral perfection concepts.
  • Experience supporting internal/external audits and regulatory exams.
  • Demonstrated proficiency in typing with speed and accuracy; basic keyboarding skills are required
  • Working knowledge of all lending and imaging software, with the ability to do updates and troubleshoot programs
  • Proficient in the use of imaging software
  • Strong attention to detail
  • Understands computer and other equipment capabilities and limitations
  • Ability to learn and retain a complex variety of information related to loan policies and procedures 
  • Exceptional oral, written, and interpersonal communication skills with the ability to apply commonly understood knowledge to carry out instructions and instruct others, understanding procedures, and write reports and correspondence
  • Exceptional organizational and time management skills; ability to function well in a fast-paced environment


SUPERVISORY RESPONSIBILITIES

This position is responsible for supervising staff in accordance with the bank’s policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance; rewarding and taking corrective action with employees; addressing complaints and resolving problems.
