Essential Duties and Responsibilities:
- Lead and manage end-to-end payroll operations for a multi-state workforce across weekly and bi-weekly pay cycles
- Supervise, mentor, and develop a payroll team, driving accountability and performance
- Ensure compliance with federal, state, and local payroll laws, including complex jurisdictions (e.g., California wage and hour regulations)
- Oversee complex payroll elements, including bonuses, commissions, and equity compensation (RSUs and stock options)
- Manage payroll tax filings, reconciliations, and regulatory compliance across all jurisdictions
- Partner with HR, Finance, and Legal to ensure accurate compensation structures, benefits deductions, and reporting
- Support and lead internal and external audits; contribute to SOX compliance and internal control frameworks (preferred)
- Oversee year-end payroll processes, including W-2s, 1099s, and related filings
- Evaluate and improve payroll systems, processes, and controls to enhance efficiency and scalability
- Ensure proper handling of multi-state taxation, including unemployment insurance, reciprocity, and local tax requirements
- Resolve complex payroll issues and employee inquiries with a high level of service
- Maintain and document payroll policies, procedures, and internal controls
- Manage relationships with payroll vendors and system providers
Qualifications:
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field (or equivalent experience)
- 5+ years of payroll experience, including 2+ years in a leadership or supervisory role
- Proven experience managing multi-state payroll across a large, distributed workforce
- Strong knowledge of payroll tax regulations, wage and hour laws, and compliance requirements
- Experience with equity compensation, including RSUs and stock options, and related tax implications
- Experience operating in a complex, high-growth environment
- Proficiency with payroll systems (e.g., UKG)
- Strong analytical, organizational, and problem-solving skills
- High level of accuracy and attention to detail
- Excellent communication and cross-functional collaboration skills
- Ability to handle sensitive and confidential information with discretion
Preferred Qualifications:
- Experience in healthcare, particularly DME or similarly regulated environments
- Experience supporting SOX compliance and audit-intensive environments
- Deep knowledge of complex state payroll laws, especially California
- CPP (Certified Payroll Professional) certification
- Experience scaling payroll operations in a multi-state, high-growth organization
