Essential Job Functions:
The Senior Administrative Aide provides administrative, clerical, and technical service to the Assistant State Court Administrator and Deputy Director of the Human Resource (HR) Division by: serving as the primary liaison for inquiries received within the Human Resources Division; managing the calendars for Assistant State Court Administrator; coordinating conferences, meetings, programs, and special events; processing requisitions, receipts, purchase orders and vouchers; reconciling purchase card; procuring and maintain equipment and supplies, monitoring inventory and negotiating with vendors for cost-containment; conducting research on a variety of HR matters and compiling results; preparing spreadsheets, presentations, reports, and correspondence; managing projects for the Assistant State Court Administrator and Deputy Director and work with other HR leaders, as needed, to ensure completion; opening and distributing departmental mail; performing special projects as requested.
The employee in this position must exercise considerable discretion, judgment, initiative and confidentiality all at times due to the sensitive nature of work performed with Assistant State Court Administrator and Deputy Director.
Essential Duties and Responsibilities:
Maintains a high level of confidentiality to provide administrative and technical service to the Assistant State Court Administrator and Deputy Director of the Human Resource (HR) Division by: serving as the primary liaison for inquiries received within HR Administration; manage the calendar and answer the phone for Assistant State Court Administrator; coordinate conferences, meetings, programs, and special events. Responding to inquiries received to Human Resources general inboxes.
Conducting research on a variety of HR matters and compiling results; preparing spreadsheets, presentations, reports, and correspondence; managing projects for Assistant State Court Administrator and Deputy Director and work with other HR leaders, as needed, to ensure completion; performing special projects as requested.
Maintenance of the budget in conjunction with Assistant State Court Administrator and Deputy Director of Human Resources. Process requisitions, receipts, purchase orders and vouchers through the GEARS system. Reconciliation of purchase card, procuring and maintain equipment and supplies, monitoring inventory and negotiating with vendors for cost-containment. Oversight of departmental mail.
Coordinates with HR Administration and HR units? representatives to ensure successful communication standards, consistency, and branding throughout Human Resources for internal and external stakeholders. Coordinate administrative needs for HR Reps within each HR unit.
Utilizes knowledge and understanding of Human Resources operational and procedural issues as well as interdepartmental functions to provide professional, service-oriented responses to Judiciary inquiries, both for HR matters and external judicial agencies; serves as a central liaison for other departments and external customers in resolving daily matters and operation needs concerning the HR department.
Coordinates with external stakeholders within AOC for Annapolis Complex events to include but not limited to employee appreciation luncheons, etc.
Minimum Qualifications:
Education: High School (or GED equivalent).
Experience: Three (3) years experience serving in an administrative capacity to a senior level manager.
Preference: Experience with the Microsoft Office Suite, Adobe. One (1) year of experience working with confidential information. Experience working in a court, legal system setting is preferred.
Preferred: Bachelor's Degree from an accredited College or University.
Knowledge, Skills, and Abilities:
Knowledge of:
Legal terminology and court procedures.
Comprehensive knowledge of standard office operations, procedures, and technology ? Advanced English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Judicial policies and procedures.
Judiciary Human Resources policies and procedures.

Physical Requirements:
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
Equipment, Machinery and Tools:
Desktop computer and monitor, laptop (to support conferences and telework as approved), printer.
Software and Computer Skills:
Microsoft products (Word, Excel, SharePoint, Teams), Adobe Suite, Zoom for Government, JPortal, Attorney Information System (AIS), and Odyssey.
