Essential Job Functions:
The Judiciary Clerk performs case processing duties and daily responsibilities, which entails high volume of dater entry work for multiple case types, including but not limited to criminal and juvenile for the Allegany County Circuit Court. Any additional duties as assigned by management.
Greets and assists the general public and court related personnel, responding to inquiries regarding the proper completion of various court related forms and information regarding court policies and procedures, answer questions by phone, handle expungements, run a cash register, and handle money.
Prepares case files and ensures that all necessary documents are complete and accurate in accordance with established court procedures.
Processes and maintains case files by reviewing pleadings, typing docket information, and establishing cases files.
Processes new cases and sends them out for service by the local Sheriff?s Department and/or to our assignment office to schedule a hearing.
Enters new cases and updates existing case information into the court?s data system.
Reviews and processes legal documents such as bench warrants, bond forfeitures, subpoenas, summonses, appeals, continuances, commitment papers and court dockets.
At times will need to assist in the courtroom with organizing exhibits, recording witness information, communicating with bailiffs, court staff and judges.
Confidently and efficiently administer oaths, take roll call, and provide instructions to the public.
Minimum Qualifications:
Education: High school diploma (or GED equivalent).
Experience: One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole and probation, legal or financial services.
Note:
A Bachelor?s Degree may substitute the required work experience.
A Paralegal/Associates Degree or 60 college credits may substitute the required work experience.
A Paralegal Certificate may substitute the required work experience.
Knowledge:
General office practices, procedures, and equipment.
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division.
Skill in:
Customer service and handling problems tactfully and patiently.
Typing on a personal computer.
Accuracy and attention to detail.
Ability to:
Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, cash register, scanner, fax machine, etc.
Use and maintain numerical filing system to locates files, until all cases are completely scanned.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing.
Understand and abide by departmental rules, regulations, and procedures.
Exercise tact, diplomacy, and impartiality in dealing with the public, law enforcement personnel, and attorneys.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation, and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law, and/or regulation to a situation.
Maintain confidentiality of documents filed in Clerk?s office, as well as matters heard in Court.
Physical Requirements:
Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
Equipment, Machinery and Tools:
Computer, scanner, printer, fax machine. This equipment is used daily in the processing of case files.
Software and Computer Skills:
Microsoft Office, Maryland Electronic Courts, Adobe, and SharePoint. This software is used daily in the processing of case files.
