Position Summary:

The Chief of Staff / Executive Assistant enables the CHRO to operate at enterprise scale by managing priorities, preparing leadership engagements, and ensuring operational follow-through across the Human Resources Leadership Team (HRLT).

This role combines senior-level executive support, executive operations, board-level coordination, and initiative facilitation. The individual does not act as a decision-maker on behalf of the CHRO, nor replace functional ownership. Instead, this role creates clarity, momentum, and alignment—ensuring work progresses efficiently and leaders stay focused on the highest-impact priorities.
This position requires exceptional attention to detail, operational discipline, sound judgment, and the highest level of confidentiality.

Core Executive Support
•Manage a complex, dynamic executive calendar aligned to enterprise priorities, including time protection and sequencing of critical work
•Coordinate domestic and international travel logistics
•Manage expenses and administrative follow-through with accuracy and discretion
•Prepare meeting materials, briefing packets, and pre-reads for internal and external engagements
•Manage inbox triage and draft correspondence on behalf of the CHRO
•Coordinate leadership meetings and executive engagements

Board & Committee Support (Compensation & Talent Committee)
•Coordinate scheduling and logistics for Compensation & Talent Committee meetings
•Partner closely with the CEO’s Executive Assistant to ensure alignment of timelines and distribution of materials
•Manage collection, formatting, and finalization of board materials in partnership with HR and Finance stakeholders
•Ensure final materials are reviewed, version-controlled, and distributed in a timely and secure manner
•Maintain meticulous records of meeting dates, materials, and follow-up items
•Operate with absolute discretion and confidentiality regarding executive compensation, succession planning, and sensitive talent matters

Executive Operations, QBRs & Leadership Team Coordination
•Facilitate the HR Leadership Team (HRLT) operating cadence, including agendas, materials, and follow-ups
•Lead coordination of Quarterly Business Reviews (QBRs), including:
Preparing agendas and sequencing content
Coordinating pre-reads and presentation materials
Capturing notes, decisions, and key discussion themes
Tracking action items, owners, and timelines
Following up with teams to ensure commitments and deliverables are completed
•Track commitments, decisions, and accountability across HR initiatives
•Maintain visibility into major HR programs, milestones, and dependencies
•Prepare executive-level summaries, narratives, and leadership communications

Meetings, Offsites & Engagement Coordination
•Coordinate HR All Hands meetings and team forums, including agenda development, materials, logistics, and follow-up
•Support planning and execution of HRLT offsites, strategy sessions, and leadership planning meetings
•Coordinate team engagement events (e.g., happy hours, recognition events, team dinners) as needed
•Manage logistics, vendor coordination, and budget alignment for leadership and team events

ERG Support & Budget Coordination
•Support administration and tracking of Employee Resource Group (ERG) budgets
•Partner with ERG leaders to ensure appropriate documentation, expense tracking, and alignment to annual allocations
•Provide visibility and reporting to the CHRO on ERG spend and engagement activities
•Coordinate logistics support for ERG-led events when needed

Initiative & Program Support
•Coordinate cross-functional efforts led by HR leaders and partners
•Identify risks, blockers, and interdependencies across initiatives
•Document decisions, outcomes, and next steps to ensure momentum between meetings
•Ensure work progresses between forums and reviews without assuming functional ownership

Information Flow & Alignment
•Provide real-time situational awareness to the CHRO across people, priorities, and initiatives
•Prepare concise status reporting, dashboards, and executive summaries
•Connect stakeholders appropriately to improve collaboration and decision velocity
•Improve clarity around ownership and accountability without taking ownership

•Not an HR Business Partner (HRBP)
•Not a replacement for functional ownership or accountability
•Not a gatekeeper to leadership access

•5+ years of experience supporting senior leaders (VP+; C-suite experience strongly preferred)

Location:

This role follows a hybrid work model (up to 5 days per week as needed) required at our Minneapolis office.

What We Offer:

The salary range for this role considers several factors, including education, relevant skills, work history, certifications, location, and more.

The annual salary range for this role is: $75,000 to $100,000. The actual salary offered will be determined based on the factors listed above and may fall anywhere within the range.
