Job Summary

Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.


Essential Functions

Serve as an executive assistant to the Department Chair. Duties include the complex and professional management of the Chair's day-to-day activities, including but not limited to: maintaining and scheduling the Chairman complex daily calendar in relation to their roles within the University, travel arrangements that include international trips; serving as the liaison with faculty, staff and students of the department as well as colleagues across the School and University, and external contacts, problem-solving as appropriate; coordination/design and production of reports, presentations, and class materials utilizing advanced technology software. Responsible for organizing meetings, travel arrangements, and reimbursements for all department faculty. Duties entail being well informed about Departmental, School and University organizations, programs, policies, and regulations. Provide support for all departmental committees including preparing minutes. Assume lead roles in the organization/planning of retreats, workshops, conferences, and teleconferences. Plan, organize, and coordinate the various details associated with hosting large meetings. Arranging travel and interview schedules for faculty recruitment candidates. Work in close collaboration with the department administrator, and administrative staff in the department as well as faculty, staff, and students across the University. Function independently in all tasks. Attendance at all department sponsored on-campus events is required. Must be able to travel to conferences (2x/yr) at the discretion of the Chair.


Physical Effort

Majority of the work is sedentary, however must be able to attend local meetings, stand while photocopying large projects, and must be able to perform errands and escort visitors around campus.
