Position Summary Information

Job Description Summary:
The Program Assistant will support the Office of Alumni Relations in several important functions, such as customer service, data management, and event logistics. Key duties include:

o Serving as a first point of contact for external alumni, media, and external constituents via phone, email, and in-person inquiries, acting as an ambassador for the university and consistently demonstrating professionalism and discretion.
o Identifying and escalating sensitive, sociopolitical, or complex alumni concerns to the appropriate Alumni Relations staff for resolution.
o Partnering with the Advancement Services team, driving alumni data updates and requests through the appropriate forms and channels.
o Maintaining customer support documentation, approved response templates and key contacts for the Alumni Help Desk.
o Providing support for signature Alumni Relations events (e.g. Reunion, Student Orientation, Family Weekend, Homecoming) as needed.
o Conducting research and formatting projects for Alumni Relations staff members.
o Performing clerical duties such as preparing inter-office and post office mailings, making copies, stuffing information packets, etc.
o Assisting with bi-annual processes such as maintaining collateral gift inventory, organization of gift closet and production room organization (2X per year).
o Other duties as assigned.

Requirements:
  • o Current undergraduate student.
    o Previous customer service experience.
    o Strong communication skills (written and verbal), attention to detail, and ability to manage multiple tasks efficiently.
    o Comfort communicating with a wide variety of people (including older alumni)
    o Resourceful problem-solver with consistent follow through
    o Attention to detail and emphasis on accuracy in work.
    o Ability to exercise discretion, confidentiality, and good judgment.
    o Ability to initiate and complete tasks with minimal supervision; proactive about asking questions and escalating issues to supervisor.
    o Knowledge of Microsoft Word, Excel, and PowerPoint
    o Ability to learn and use other software systems (Salesforce, Microsoft Teams, STOVA, Airtable)

Additional Information:
  • Occasional weekend/evening hours to help staff on-campus events; highly encouraged but not required.
  • Possibility to stay on during the school year.

Physical Demands Summary:
The job sometimes requires stooping or bending; some very light lifting
such as three or four reams of paper or books (up to 20 pounds), may
be required.
Wage Rate:$11.25 per hour
