Job Description:

Reporting to the Director of the Center for Economic and Environmental Development, the Blue Solutions Institute Program Manager is responsible for completing operations related to the Blue Solutions Institute (BSI), as well as other CEED programs.  The Blue Solutions Institute Program Manager serves as a key resource to operations, providing coordination among the research, leadership, and administrative teams. 

Blue Solutions Institute (BSI)/Blue Fellows & CEED Program Management 
Develop and analyze regular budget reports for foundation gifts, grants, and/or cost center activity for and BSI PIs, and CEED as requested.

Develop and analyze financial reports, projections, burn rates, and variance summaries to inform planning, resource allocation, and leadership decision-making for CEED and BSI programming.

Monitor budgets, expenditures, payroll distributions, billing activity, receivables, payables, and account balances across multiple funding sources and operating units.

Prepare and manage financial workflows and documentation, including reconciliations, billing records, internal reports, and related materials required for timely program administration and alignment.

Develop content, in collaboration with RWU Marketing and Communication, and aligned with CEED and BSI strategic initiatives, for CEED and BSI programming promotional materials.

In collaboration with the CEED Director, create BSI and CEED program documentation, including annual reports, gift stewardship and grant reports, newsletters and regular communications with external partner organizations.

Develop and implement administrative systems, tracking tools, templates, and workflow improvements that strengthen efficiency, compliance, recordkeeping, and reporting accuracy.

In collaboration with the CEED Director, generate a method for regular tracking of metrics and analyses for outcomes assessment and program planning for CEED and BSI programming.

Prepare, format, and send communications, including emails, award letters/rejection letters, and logistical information, for the Blue Fellows and the MNS/CEED Student Ambassador Programs.

Cultivate effective working relationships with RWU Offices of Finance, Sponsored Research, Human Resources, Facilities, Admissions, Marketing and Communications, and other administrative offices to advance CEED and BSI operations.

Generate and maintain compliance documentation, publication records, grant files, service records, and other official program materials required for institutional and external use for CEED and BSI programs.

Maintain the customer interface, contact lists for collaborators, vendors, and service clients for CEED and BSI programs.

Develop and oversee a system for sample submissions, delivery, and shipment with aquaculturists, farmers, regulators, hobbyists, and other customers of CEED cost centers. 

Administrative
Coordinate billing, invoicing, payments, and purchasing.

Administer facilities, space use, building access, and operational service requests necessary for CEED staffing, programming, and research activity.

Facilitate hiring, onboarding, student appointments, temporary staffing, payroll processing, associated with CEED and BSI programs, in coordination with RWU offices.

Facilitate event, meeting, and conference logistics associated with BSI programming and/or CEED.

Serve as the point of contact with Facilities to submit Work Orders for building concerns. 

This is a grant-funded position that is contingent upon the existence and availability of external funding. 





Job Requirements:

Bachelor's Degree.

3 years of grant and financial experience, preferably in an academic environment.

Excellent written and verbal communication skills for handling correspondence and preparing and reviewing report and program content.

Strong organizational and time management skills.

Strong collegiality/willingness to work with clients, external partner organizations, students, staff, and faculty.

Experience with content formatting and design for reporting/marketing material.

Attention to detail and accuracy in data entry, record-keeping, file management, scheduling, and ordering.

Ability to prioritize tasks in a fast-paced environment.

Proficiency with MS Office Suite (Word, Excel, Outlook) or Google Suite, and familiarity with database management and basic bookkeeping software.

Experience with printers, copiers, scanners, and multi-line phone systems.

Preferred Qualifications
Experience working in administrative support role in a higher education.

Familiarity with the region's and/or RWU's existing research and education programs and networks.

Experience with processes related to grants and contracts activities and administration, billing and invoicing, and payroll paperwork.
