Position Summary: The Facility Manager is responsible for managing the operations of a warehouse, ensuring the timely and efficient receipt, storage, and distribution of goods. This role requires strong organizational, leadership, and problem-solving skills to oversee a team, optimize workflows, and maintain inventory accuracy while ensuring compliance with safety regulations. Key Responsibilities:
- Supervision and Leadership:
- Manage a team of warehouse staff, including employees loaned from other departments.
- Assign tasks, provide training, and ensure optimal performance of the team.
- Conduct performance reviews and provide feedback for continuous improvement.
- Inventory Management:
- Oversee the receipt, storage, and distribution of goods, ensuring accurate inventory records.
- Track inventory levels and reorder stock as needed to prevent shortages.
- Perform regular stock audits and cycle counts to maintain inventory accuracy.
- Warehouse Operations:
- Develop and implement efficient warehouse processes and layouts to optimize space, reduce costs, and improve workflow.
- Oversee shipping and receiving operations, ensuring that orders are processed on time and accurately.
- Ensure that goods are properly labeled, packaged, and stored according to company standards and safety regulations.
- Fleet Operations & Management:
- Oversee day-to-day operations of all fleet vehicles and equipment.
- Schedule and track preventive maintenance and repairs
- Coordinate with vendors and internal maintenance teams.
- Minimize vehicle downtime and ensure availability for operations
- Maintain accurate vehicle service and maintenance records
- Compliance & Safety Management:
- Ensure compliance with DOT, OSHA, FMCSA and local regulations (as applicable)
- Manage vehicle inspections, registrations, permits and licensing.
- Maintain a clean and safe working environment, ensuring that all safety procedures are followed.
- Ensure that the warehouse complies with local, state, and federal regulations.
- Conduct regular safety audits and training sessions for the warehouse team.
- Logistics & Coordination:
- Coordinate with operations, sales, and other departments to ensure smooth operations and timely deliveries.
- Manage relationships with suppliers and carriers to ensure efficient inbound and outbound logistics.
- Plan and oversee logistics activities to minimize delays and maximize efficiency.
- Reporting & Documentation:
- Maintain accurate records of inventory, shipments, and receipts.
- Prepare reports on warehouse performance, including inventory levels, order processing times, and safety compliance.
- Analyze performance metrics and implement strategies for improvement.
- High school diploma or equivalent (required).
- Bachelor's degree in logistics, business or related field (preferred).
- 5+ years experience in warehouse, fleet or operations management.
- Proven experience as a Warehouse Manager, Fleet Manager or similar role.
- Strong leadership and team management abilities.
- Excellent organizational and multitasking skills.
- In-depth knowledge of warehouse operations, fleet operations, inventory management, and logistics.
- Familiarity with warehouse management software (WMS), vehicle telematics and other related systems.
- Ability to work under pressure and meet deadlines.
- Strong communication and problem-solving skills.
- Understanding of health and safety regulations and best practices.
- Ability to move throughout the warehouse, often for long periods, to monitor operations and ensure compliance with procedures.
- Comfortable standing, walking, bending, and kneeling during the workday.
- Ability to lift and carry items up to 50 pounds (occasionally more, depending on the role) for tasks such as inspecting goods or assisting in inventory management.
- Lifting and handling of packages or materials that are being checked, moved, or prepared for shipment.
- The ability to work in a fast-paced environment, remaining on your feet for extended periods.
- Endurance to manage multiple tasks and remain alert during long shifts, especially in high-volume or peak periods.
- Ability to operate warehouse equipment such as forklifts, pallet jacks, and other machinery safely and efficiently.
- Fine motor skills are necessary for handling paperwork, scanning barcodes, or managing inventory data.
- Ability to work in varying temperatures (depending on the warehouse environment—could be cold storage, ambient, or hot environments).
- Work conditions may include noise from machinery or ventilation systems, and occasional exposure to dust or other materials.
- Handling small tools, devices, or technology used in inventory tracking or quality control.
- Ability to address and resolve problems quickly and efficiently.
- Critical thinking to optimize processes and manage challenges such as tight deadlines or unexpected delays.
- High level of attention to detail.
- Ability to make sound decisions under pressure, particularly in high-stress situations.
- Often requires balancing competing priorities, such as operational efficiency, cost savings, and customer satisfaction.
- Strong leadership skills to manage and motivate a team.
