JOB DESCRIPTION
Summary/Objective
Responsible for processing and coordinating consumer loan requests, including HELOCs, from application through origination. Supports Retail employees, Loan Officers, and underwriters by ensuring loan files are complete, accurate, and compliant with Burke & Herbert Bank’s credit policy and regulatory requirements.
Processes a variety of consumer loan products, including but not limited to; unsecured loans, vehicle loans, home equity lines of credit, renewals, modifications, denials, withdrawals, and change-in-terms requests.
Essential Functions

- Receive consumer loan requests within the Bank’s loan origination system.
- Review loan applications and supporting documentation for completeness and accuracy.
- Manage an active pipeline of loan requests to ensure timely processing and follow-up.
- Coordinate with retail, consumer underwriters, and third-party vendors to obtain required documentation and satisfy outstanding conditions.
- Order, monitor, and track third-party items as required, including flood determinations, appraisals, title work, legal documents, insurance, and other supporting documentation.
- Prepare and deliver required disclosures and loan documentation within regulatory timeframes.
- Review loan files for closing readiness and clear all prior-to-close conditions.
- Prepare, schedule, and coordinate loan closings.
- Prepare loan documents and distribute documents to customers, internal partners, and external vendors including electronic delivery when appropriate.
- Coordinate funding and disbursement of loan proceeds in accordance with Bank procedures.
- Review signed loan packages for completeness and accuracy prior to funding and booking.
- Ensure all executed loan documents are properly imaged and retained in the Bank’s systems.
- Scan and route post-closing documents to the appropriate departments for ongoing collateral, title, and insurance tracking.
- Maintain accurate loan file documentation and status updates throughout the life of the request.
- Follow all Bank policies, loan policy requirements, and operational and compliance procedures.

Supervisory Responsibility
This position does not have supervisory responsibilities.
Work Environment
This job operates in an office setting, the opportunity to telework is not available. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Office environment with job duties conducted via telephone, face to face meetings, and on the computer.
Physical Demands
This position requires manual dexterity, the ability to lift files and open cabinets. This position requires bending, stooping or standing, as necessary.
Travel
Limited local travel may be required for this position.
Education and Experience
- High school diploma or equivalent required.
- Six months of lending experience required.
- Experience with consumer loan documentation, disclosures, and closing processes preferred.
- Requires an active NMLS number or be able to obtain one after starting in the role.
- Notary Public is preferred, but not required.
