Administrative Assistant IIMATRIX
MATRIX is in need of an Administrative Assistant II to provide support for the Mechanical, Electrical, and I&C shops at the Prairie Island nuclear facility. The position is responsible for supporting daily operational activities including preparing and managing work packages, running operational reports, maintaining schedules, and supporting supervisors with administrative tasks. Key deliverables include ensuring work orders and documentation are properly prepared, printed, verified, filed, and uploaded into electronic systems. The role also supports compliance-related documentation, work tracking, procedure markups, and maintaining department tracking files.
Hours:
Option 1 – 4/10 schedule:
6:00 AM – 4:00 PM (four days per week)
Option 2 – 5/8 schedule:
7:30 AM – 3:30 PM (five days per week)
Work hours are flexible depending on team needs, but employees are expected to maintain consistency once their schedule is established
Duration: 8 months
Location: Welch/Red Wing, MN
Hourly pay range: $18- 20
Provide administrative support for the Projects Department across Minneapolis and fleet locations.
Responsibilities include scheduling meetings, coordinating departmental needs, preparing PowerPoint presentations, maintaining Excel spreadsheets, and supporting documentation tasks.
Assist with travel arrangements and monthly expense reports via Concur.
Coordinate with external vendors for supplies, food orders, and meeting arrangements.
Corporate fleet role; no nuclear badge required, but access to nuclear-related data requires 10-screening.
Supporting operational tasks as assigned.
Work on special projects as needed
Perform primarily office and non-manual work.
Perform work related to the management or general business operations of MATRIX or its customers/clients, while exercising discretion and independent judgment with respect to matters of significance to MATRIX and its customers/clients.
Interface with managers or head of a unit/department requiring the integration of multiple functional organizations.
Use “lessons learned” to improve quality of MATRIX’s future projects; make recommendations to MATRIX as to the implementations of future policies and procedures.
Required Qualifications:
1–2 years of administrative experience, preferably in an industrial or operational environment.
Strong Microsoft Office skills (especially Excel and Word)
Administrative support experience
Ability to manage documentation and multiple reports
Strong organizational skills and attention to detail
Ability to manage schedules, files, and operational documentation
Preferred Qualifications:
SAP experience
Concur expense reporting experience
Nuclear industry experience
Experience with Workday or UKG for time entry
