Position Duties & Responsibilities:

  • Prepare and maintain project specific documents including correspondence, meeting minutes, reports, contracts, proposals, and specifications.
  • Work with internal team members and subconsultants to schedule project meetings, develop agendas, and distribute meeting minutes.
  • Coordinate design meetings with clients.
  • Complete transmittal forms, secure office copy of all documents, and transmit materials to the client for contractor's material requests. Contractor material requests will be reviewed by the engineer.
  • Review project drawings, reports, and specifications to ensure uniformity.
  • Provide project reports to project teams and clients.
  • Coordinate project design, bidding, and construction administration for a variety of projects.
  • Coordinate project management tasks, including scope, schedule, and budget tracking.
  • Report potential contract scope modifications.
  • Create and maintain resource management plan.
  • Serve as primary point of contact for clients during design.
  • Provide project updates to the Client Service Manager.
  • Serve as the liaison between the contractor, client, and design team during construction.
  • Establish lines of communication including content, frequency, and venue among all project stakeholders for design and construction.

Qualifications:

  • High school diploma or equivalent required.
  • Previous project assistant experience required.
  • Highly proficient with Word, Excel, and Outlook
  • Excellent written and verbal communication
  • High degree of organization and accountability
