The Unit Coordinator, Unit and Faculty Support works independently with minimal supervision and to work effectively as part of a team. Unit Coordinators must have outstanding organizational skills and meticulous attention to detail; an ability to communicate effectively and professionally; demonstrated initiative and willingness to continuously develop new skills; and an ability to work with multiple supervisors and manage competing priorities, meet deadlines, and follow through on projects. The position requires a strong customer service orientation, good judgment, and flexibility. The ability to handle confidential material with tact and discretion is essential. Strong technical skills are required. Overtime may be required.

Position Description

Reporting to the Manager, Unit and Faculty Support, the Unit Coordinator provides high level administrative support to the Unit Head, and to the unit's projects and activities. In addition, the Unit Coordinator provides direct faculty support for the Course Head, Unit Head, and/or other faculty. The Unit Coordinator acts as a mentor to Faculty Support Specialists.

  • Works with faculty to ensure smooth delivery of first year, required courses, elective courses, and provides direct course delivery support including logistics for complex exercises and simulations.
  • Manages the administrative process for faculty recruiting: distribution of candidate material, planning and coordination of visits, and compliance with recruiting guidelines.
  • Organizes and plans logistics for seminar series, research conferences and other unit events
  • Assists with the administrative process for doctoral recruiting.
  • Oversees teaching, research, course development mentoring observations, and assists with identifying and tracking field research opportunities.
  • Builds strong relationships with stakeholders, including faculty, staff, and external partners to promote cohesive unit morale.
  • Proactively assists colleagues and acts as a mentor to Faculty Support Specialists.
  • Coordinates support with Faculty Support Specialists and Senior Faculty Support Specialists to complete large scale unit projects.
  • Assists Unit Head with process for multi-year unit faculty assignment planning.
  • Keeps current on HBS/University initiatives; is information source on activities of faculty, unit, HBS and is unit's liaison with internal and external contacts.
  • Assists with identifying administrative support workload balance needs within unit.
  • Manages unit calendar, budget; assists with unit space planning.
  • Manages unit web presence, maintains files/archives.
  • Handles complex, confidential materials.
  • Provides support to faculty and/or other projects on a short-term and long-term basis based on business needs.
  • May assist in identifying new technologies to improve office productivity, enhance teaching/research initiatives.
  • Responsible for other duties as assigned.


Basic Qualifications

  • High School Diploma or GED required.
  • Minimum 5 years of experience with 3 years high-level administrative support experience is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, etc.), or similar suite of programs such as those from Google and Apple, Adobe Acrobat, and Zoom. experience is a must.

  • Demonstrated ability to exercise sound judgment in a variety of situations.
  • Excellent communication, interpersonal, organizational, project management, analytical, writing, and editing skills.
  • Proven ability to take initiative, work independently, manage multiple projects simultaneously, handle confidential information with discretion, and work well under deadlines.
  • Ability to learn, teach new software and stay current with various technologies.
  • Proficient in navigating and using major social media platforms (such as Facebook, Twitter, Instagram, LinkedIn, and TikTok) for basic content creation, audience engagement, and trend analysis.
  • Ability to develop an understanding of and stay up to date on the academic research of the unit.
  • Willingness to work in a collaborative work environment supporting a variety of faculty colleagues, and changing assignments based on business needs.
  • Ability to adapt quickly to changing staff assignments, responsibilities and tasks.


Additional Information

This is a 35-hour/week, overtime-eligible position.

This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA-based campus 3 days per week. Specific days and schedules will be determined between you and your manager.
