We are searching for an HS&E Administrative Assistant to join our growing Health, Safety and Environment Team!

As an HS&E Administrative Assistant, you will be responsible for assisting in administering and maintaining company-wide HS&E programs, while performing various administrative functions in support of the HS&E Team.

How will you impact our organization as an HS&E Administrative Assistant on a daily basis?

  • Support HS&E procedures and ensure proper administration of record keeping requirements.
  • Responsible for ensuring timely completion and filing of documents required by regulatory agencies.
  • Maintain accurate product codes and communicate any discrepancies to relevant stakeholders.
  • Maintain Safety Data Sheet (SDS) database, ensuring accuracy and compliance with OSHA requirements.
  • Review SDS documents for accuracy and communicate discrepancies to vendors and or relevant stakeholders.
  • Ensure timely revision and updating of applicable reference manuals.
  • Collaborate with other departments and provide leadership support for HS&E goals.
  • Support programs that promote safety and awareness for focusing on health and protecting the environment.
  • Assist HS&E Department with project administration, including coordination of meetings and events, compilation of training materials, administration of HSE websites, and support for document control processes.
  • Manage data for various HS&E databases, spreadsheets, and documents.

Required Skills and Qualifications:

  • A minimum of 2 years of experience in an administrative role or similar.
  • High School Diploma or GED.
  • Advanced proficiency using MS Office software to effectively execute work tasks, including Word and Excel.
  • Ability to learn internal database and software systems.
  • Superior oral and written skills are required to communicate at multiple levels within the organization.
  • Self-structure and a high degree of organizational skills.
  • Must be able to work independently in a fast-paced and multifaceted environment.

Preferred Skills & Qualifications:

  • Prior work experience in a health and safety environment.
  • Associate degree preferred
  • SAP experience is a plus.

Location & Schedule:

  • This position will be based out of our corporate headquarters in Schaumburg, IL.
  • We would like this person to be fully on-site for the first 3 months, with the opportunity to then transition to a hybrid schedule of 3 days on-site, 2 days remote.
