Description:

Hoyle Tanner's Ground Transportation Division is seeking a Project Development Assistant to provide higher-level administration, planning and organization support to the group.

As a Project Development Assistant your duties will include the following:

  • Responsible for working with project teams to deliver bridge and highway transportation studies, designs and construction phase services to state and municipal clients throughout New England.
  • Work directly with the project leaders to help drive the activities required to support success.
  • Planning and scheduling meetings, ensuring meeting materials are developed and distributed before the meeting (meeting agenda, meeting specific content etc.).
  • Ensuring meeting logistics are in place and validated (meeting rooms, phone/video/web conferencing, in room projection capabilities), and attendance for required participants is confirmed.
  • Taking contextual notes during meetings and synthesizing notes post-meeting to highlight key takeaways and action items for participants.
  • Meeting notes will be reviewed for approval by the project manager prior to distribution to meeting participants.
  • Tracking and maintaining a log of key activities (action items) to drive project progress.
  • Maintenance of program level and project level schedules
  • May be developed and managed in various project scheduling tools including Microsoft Excel, Microsoft Word, Microsoft Project, or other similar program.
  • Administration of collaboration tools for project development
  • Could include multiple platforms (Microsoft Teams, Microsoft SharePoint or other similar tools).
  • Items would include program/project documentation and administration of other data managed within the tool.
  • Includes overseeing and managing access to the collaboration site and helping to resolve any issues.
  • Assist the project team in developing presentations (Microsoft PowerPoint, or similar program).
  • Assist the project manager with financial project tracking including setting up accounting documentation, invoicing assistance and planning documents.
  • Assist senior division leadership with the following:
  • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the executives.
  • Conduct research, compile data, and prepare reports as requested by the leadership team.
  • Act as a liaison between executives and internal/external stakeholders, managing communications and responding to inquiries on their behalf.
Requirements:
  • Five (5) or more years of relevant experience
  • Associates Degree in Business or Administration
  • Bachelor Degree in Business or Administration a plus
  • Strong demonstrable written communication skills
  • Strong verbal communication skills
  • Ability to work well within a team environment with varying personalities
  • Quick learner with ability to take direction incorporate feedback and ask questions
