HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily
  • Completing transactional duties with special attention to detail, being organized, and multi-tasking
  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
  • Handling and receiving incoming and outgoing correspondence


As an Administrative Assistant II, your day-to-day responsibilities will include:
  • The Administrative Assistant - Level II (AA II) shall provide superior administrative support to a large, investigative Department
  • Support will be primarily provided to the Sponsor Department office as well as the Chief, Department Chief, three Deputy Department Chiefs, Portfolio manager and the EXO
  • The candidate shall support the tracking of customer created investigative products as well as the routing
  • This position will leverage an already established process for documenting receipt of customer products, but will also require additional development of the process to further increase efficiency
  • The candidate shall work with tracking mechanisms on multiple system saving and migrating customer records, providing status in real time, and ensure associated documentation is updated and placed within customer's systems for discoverability, tracking, and retrieval
  • The Administrative Assistant II will work independently with moderate supervision by the EXO to provide internal support to the branch
  • The AA II shall support the tracking of customer created investigative products as well as the routing
  • This position will leverage an already established process for documenting receipt of customer products, but will also require additional development of the process to further increase efficiency
  • The candidate shall work with tracking mechanisms on multiple system saving and migrating customer records, providing status in real time, and ensure associated documentation is updated and placed within customer's systems for discoverability, tracking, and retrieval
  • No travel is required beyond the initial check-in meeting with our Washington Metro Area department front office
  • The Administrative Assistant II should be proficient in Microsoft Office applications
  • Experience using Adobe Professional is desired but not required
  • Prior sponsor organization experience to include knowledge of Sponsor access control systems is highly desired
  • The Administrative Assistant II (AA II) will submit access requests for incoming employees, maintain phone cards for all of the office teams, and update office name plates as necessary
  • The AA II may also escort visitors and guests to the office. The Administrative Assistant II (AA II) will prepare new case files by researching information in sponsor databases, and submit requests for additional information based on the results
  • This information will be added to the office database
  • Additionally, the AA II will research the status of existing cases and previous cases to assist management in identifying needs of the office and trends
  • The AA II shall perform quality control reviews of final reports before they are uploaded to the customer's database
  • The AA II shall notify the customer when a final report has been uploaded to their database for review and prepare the customer's files for return

WHAT YOU'LL NEED TO SUCCEED:
  • The position requires an active Top Secret/SCI with Polygraph clearance
  • HS Diploma and 2 years of relevant experience or equivalent combination of education and experience
  • he work schedule is flexible as long as the candidate is in the office between the core hours of 9:00 AM and 2:00 PM Monday through Friday.
  • Proficient Word, Excel, Outlook, PowerPoint
  • The position is on customer site
