Facilities Systems Administrator

Job Description:

The Role:

  • Entegris is hiring a Facilities Systems Administrator in Billerica, MA to lead the sustainment and development of Facilities Operating Systems. A successful candidate will be energetic, adaptable and be able to manage competing priorities.

What You'll Do:

  • Independently manage and perform all Facilities purchasing and procurement.

  • Work with internal trades on material needs to create purchase requisitions

  • Work with external service providers to ensure receipts of purchase orders

  • Provide analytical acumen to independently resolve invoicing problems

  • Utilize self-directed continuous improvement to prevent invoicing problems

  • Ability to detect invoicing errors

  • Administer the Facilities work order and preventative maintenance program.

  • Field end user Facilities work order requests and assign to appropriate trade

  • Issue preventative maintenance orders according to schedule

  • Enter new assets, PM schedules and work instructions

  • Attach service records and costs to work orders.

  • Lead the Facilities Department vendor management program.

  • Run rate utility spend to forecast utility budgets, annual blanket PO's

  • Work with upper management on forecasts and budgets

  • Work with vendors and contactors for SOWs for annual service, renewal of service agreements

  • Create and communicate schedules.

  • Coordinate internal impacts.

  • Monitor and report key Department performance metrics.

  • Report on preventative maintenance & open work orders, late & future (weekly meeting)

  • Track spend and energy monthly, retrieve, analyze & send invoices to A/P (Utilities & Gas)

  • Report utilities & gas consumption in Resource Advisor

  • Clean Harbors invoicing allocation & update working spreadsheet

  • Engage in Facilities Safe Work documentation and programs.

  • Coordinate and schedule contractor training

  • Create Non-Disclosure Agreements

  • Upload certificates of insurance

  • Set up new vendors, initiate Third Party Tracker communicate to vendor required documents (W9, ACH, COI)

  • Assist in Facilities audits, controlled document creation and corrective action activities

  • Prepare documents, metrics, and training records

  • Representative for Bedford on the SLT (Safety Leadership Team) report monthly FAC activities

  • Provide spot receptionist coverage as needed.

  • Assist team members and software training.

  • Execute data administration projects as needed.

Outstanding Candidates Will Have:

  • Full acquaintance with enterprise software administration (SAP experience highly beneficial).

  • Considerable knowledge of purchasing, planning buying, contracts, and agreements.

  • Solid analytical and problem-solving skills. Ability to fully resolve supplier, invoicing, and accounting obstacles.

  • Ability to meet deadlines in a fast paced environment.

What We Seek:

  • Bachelor’s Degree and/or equivalent experience

  • SAP or equivalent knowledge.

  • Familiarity with Manufacturing pace and environment

  • Extensive knowledge of Microsoft Office programs.

  • Experience as a buyer planner or in sourcing.
