Position Description

Assists with price quotations, expediting and tracking orders. Issues purchase orders for short orders, immediate needs and incidentals. Enters and receives material and equipment into system. Checks material, equipment and freight bills. Codes invoices and approves for payment.


Purchasing/Accounts Payable/Freight:

  • Purchases “short & emergency” material buys.
  • Purchase consumables, e.g. caulking, paints, lumber, tie wire, etc.
  • Supports receivables for all purchases / orders for materials into system for islands as needed and directed.
  • Prices material requisitions.
  • Expedites company issued purchase orders to insure delivery dates comply with construction schedule requirements.
  • Monitors and maintains the status of purchase orders to insure material delivery dates support construction schedule.
  • Interfaces with Accounting and vendors to clarify invoice discrepancies, prepare back charges, etc.
  • Coordinates with vendors to make field service calls, correct resolve material and equipment defects and to monitor the status of warranty claims.
  • Follow up on return goods until credit is received.

Scheduling:

  • Arranges for shipment of materials and pickup by DDL.
  • Schedules deliveries, freight, containers to jobsite and to warehouse, traces shipments.
  • Schedule moving of company equipment from one jobsite to another.
  • Orders rental of man lifts, forklifts, scissor lifts and arranges delivery to jobsite.
  • Schedules special garbage disposal pick up.

Inventory:

  • Assists in implementing and maintaining inventory procedures.
  • Assists with the physical inventory.
  • Prices or oversees pricing of inventory transfers.
  • Maintains list of rental equipment, ductwork materials from certain vendors and those with large dollar amounts.
  • Works with CFO to monitor inventory balances.
  • All other duties as assigned.

Additional responsibilities:

  • Maintains the catalogs for DDL, manage submittals.
  • Supports the warehouse operations as necessary (trash pickup, fuel, etc.)
  • Supports the estimating department in securing project quotations.
