Employee Type: Regular The Administrative Assistant provides comprehensive administrative support to the Land Office team, including all NACCO Management in the Land Office. The position will handle and route the majority of incoming telephone calls to appropriate office staff and greet visitors to the Land Office, as well as provide support to manage office activities for efficiency and productivity. This position will also organize files records and correspondence. We require a friendly individual who is highly detail-oriented, diligent, and proactive. This individual will support the Land staff and NACCO Management with their schedules, including meetings, travel, and expense report processing. Job Description: Essential Duties: Process Land Office invoices Serve as primary contact with the building owner for minor maintenance issues and implementing needs of the Land Office Responsible for printing checks needed by lease technicians for payments to owners Implement adequate resources for daily refreshments (coffee, soda, water, etc.) and snacks, and as required, meal ordering and continuous cleanup throughout the office hours; ensure beverage items are stocked Direct, coordinate, and assist with Bismarck office building management, including but not limited to tenant interaction, maintenance scheduling, and other tasks related to managing the daily operation of the Bismarck office building Create, maintain, and update all forms of filing done by the Land Office Coordinate placement and retrieval of offsite records storage Responsible for mail and UPS, including ordering and stocking of pre-printed labels and other items required for shipping Serve as primary office contact person for various vendors used by the Land Office (including copy machines, office supplies) Order and maintain appropriate stock of office supplies Other Duties: Arrange breakfast and lunch delivery as needed, and set up and clean up the conference room for meetings held in the Land Office conference room or building (downstairs/rooftop) Various copying and scanning duties related to filing, lease files, and other items Drafting and reviewing various forms of correspondence and other documentation Responsible for month-end reports Provide typing and other support for permit applications and revisions Other duties as assigned and required Occasional in-town travel required for office errands Manage the Land Office vehicle (fill gas, wash, schedule oil changes, etc. as required) Knowledge, Skills, and Abilities: Excellent phone etiquette Punctual Strong interpersonal skills with the ability to interact effectively with people Ability to work collectively with the administrative team associates and other departments Able to work with minimum or no supervision Strong writing and editing skills and ability to handle sensitive communications and confidential information Ability to communicate effectively verbally and in writing Enthusiasm to learn and use new software High level of understanding of computer systems and highly proficient with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Foxit Education and Experience: Associate’s degree preferred Must have at least one year of administrative assistant experience EEO Statement: EEO/M/F/disability/veteran You must meet at least the specific minimum requirements listed above to be considered a qualified applicant.
