Overview

The salary range for this position is $20.00 - $22.00 per hour depending upon qualifications and is non-negotiable.

The Division of University Relations and Development generates the external recognition, support and financial resources the university needs to carry out its mission and to achieve its aspirational goals. Working with alumni, parents, donors and community, University Relations and Development broadens the resources available to the university to enhance academic quality and enrich the local and world community.

University Relations and Development encompasses University Development, Financial Management and Information Technology, Marketing and Communications, and Alumni Relations. University Relations and Development is committed, through the generosity of donors, to transforming San Diego State University into a premier urban university of national distinction. We build lifelong relationships with alumni, friends and the community that further the vision and mission of SDSU. In partnership with the academic leadership of SDSU, University Relations and Development works to:

  • Raise public awareness of the need for private support;
  • Expand our network of donors, partners and friends;
  • Oversee campus fundraising campaigns and initiatives;
  • Recognize and steward donors;
  • Increase public awareness through marketing and communications;
  • Develop alumni support through alumni relations programs; and
  • Communicate with external constituencies.

This position will serve as an event coordinator for all events held at the PPG Alumni Center. This position will handle communication with internal and external clients and will take a leading role in the execution of all events held at the alumni center.

This is a regular, full-time position (40 hours/week). Flexibility and willingness to work long and irregular hours and days, including evenings and weekends as needed by event schedule.



Responsibilities

The Event Coordinator is responsible for but not limited to:

Core Responsibilities

  • Event coordination and planning of events held at the alumni center, to include evenings and weekends as needed
  • Maintain event details in the Event Management System (EMS) for events assigned
  • Coordinate with catering for events
  • Coordinate with parking services for events
  • Design event diagrams for clients
  • Assist in responding to inquiries for event space at the Alumni Center
  • Setup and operate audio visual equipment throughout the building during events to including sound system, projectors, screens
  • Assist with internal requests of the golf cart
  • Event follow up communications
  • Event data tracking
  • Set up and tear down of events, to include moving tables, chairs, podiums, stages, other furniture.

Customer Service & Collaboration

  • Establish and maintain positive working relationships with various University partners
  • Openly communicates and collaborates with Alumni Center co-workers in all departments
  • Present a warm and welcoming environment to all Alumni Center clients with proper office etiquette

Qualifications

Knowledge & Abilities

  • Microsoft Word and Microsoft Excel
  • Google Drive
  • Event Planning
  • Excellent interpersonal skills; ability to communicate effectively with clients, partners, and internal team.
  • Well organized, ability to problem solve, ability to prioritize work, make decisions and meet scheduled deadlines under pressure.
  • Ability to adapt to and work in an environment of constant change, growth and frequent interruptions.
  • Must be self-motivated, self-starter and perform with minimal direction and supervision.

Minimum Education & Experience

  • High school diploma or equivalent
  • Previous experience in an office or administrative environment

Preferred Qualifications

  • Prior event coordinating experience preferred.
  • At least 2 years work experience in an office/event setting.
  • Familiar with basic administrative tasks.
  • Bachelor's Degree.
