Overview

The Development Associate, reporting to the Senior Director of Special Events, plays a pivotal role within the Office of Development and Alumni Relations at the Montefiore Health System and the Albert Einstein College of Medicine. This position is instrumental in facilitating the successful execution of fundraising, stewardship, alumni, and cultivation events. The Development Associate will contribute to the seamless operation of events through database management, participant coordination, logistical support, and on-site assistance. A successful candidate could soon plan and implement smaller events from execution to completion.



Responsibilities

  • Database Management: Maintain accurate and current event and in-kind records in Raiser’s Edge. Generate invitation, attendance, and revenue reports as required. Update constituent information.
  • Event Planning and Execution: Collaborate in the planning and execution of special events, including logistical coordination, guest list management, collateral preparation, and participant follow-up. Ensure efficient tracking of monetary and in-kind gifts, complete necessary forms, and oversee payment processing. Coordinate transportation if needed. Maintain and inventory event supplies, ensuring availability and readiness for upcoming events.
  • Volunteer Coordination: Recruit and organize volunteers for events, overseeing sign-ups and assignments.
  • Vendor Management: Conduct vendor research and liaise with suppliers such as venues and caterers as necessary.
  • Administrative Support: Provide support to the Senior Director of Special Events and other team members as required, assisting in various tasks related to event planning and execution. Could include sending letters, creating invoices, or scheduling meetings.
  • Event Support: Be available for evening shifts and potential weekend work in preparation for, as well as day of an event. Take responsibility and a leadership approach to event assignment.
  • Long-term Projects and Organization: Lead and contribute to long-term projects aimed at enhancing the efficiency and effectiveness of the Special Events team. Collaborate with team members to identify areas for improvement and implement innovative solutions.
  • Additional Responsibilities: Undertake any other duties as assigned by the supervising authority, contributing to the overall success of the Special Events team.


Qualifications

Knowledge normally acquired through a bachelor’s degree and have 1-2 years of work experience (either as an employee or intern) in an office setting, preferably in development, alumni, special events, public relations, and/or marketing. Intermediate/advanced proficiency in the MS Office suite (Word, Excel, Power Point) required; familiarity with The Raiser’s Edge database or a comparable fundraising database preferred.
