JOB SUMMARY:

The Executive Assistant supporting the Executive Vice President (EVP) of Finance and Operations/COO and VP of Finance/CFO manages a diverse array of intricate and confidential responsibilities for the EVP's office. Offers administrative assistance to the Finance and Operations division and participates in special projects. Carries out additional tasks as assigned.

JOB DUTIES:

50% - Essential - EVP Level Administrative Support: Manages intricate and confidential administrative tasks for the EVP of Finance and Operations/COO and VP of Finance/CFO. Organizes and oversees the schedules of the COO and CFO. Handles incoming meeting requests efficiently. Conducts all duties with professionalism, prioritizing trust and confidentiality. Facilitates travel arrangements and prepares meeting materials upon request.

25% - Essential - Administrative Support for the Division of Finance and Operations: At the direction of the EVP or VP, assumes a leadership role in coordinating, organizing, and providing administrative services to the division, encompassing tasks such as correspondence management, file organization, scheduling meetings and conference rooms, arranging travel, preparing for meetings, and contributing to the planning of division-wide events. Delegates tasks and support responsibilities to Administrative Assistant.

20% - Essential - Board of Trustees Meeting Preparation Support: Acts as the primary liaison for assembling the Finance and Facilities Committee agendas and meeting materials for all BOT meetings. Works alongside Finance and Operations team colleagues to ensure punctual completion of all tasks and materials.

5% - Essential - Special Projects: Completes special projects as assigned.

MINIMUM REQUIREMENTS:

Education - 1st Bachelor's Degree and experience in public administration, business administration, planning or public relations.

Work Experience: 5+ years
