**Overview**

Job Summary

This position will support operations for ACTenviro at the San Jose, CA site. The position includes but is not limited to, data entry, which covers a variety of different entries in EW or customer sites, printing work orders that are generated from the sales teams, generating outbound loads, communication with downstream TSDF with that information for scheduling purposes for outbound loads, including data entry into the Clean Harbors Online System, collaborating with our warehouse personnel for accuracy for outbound loads, checking incoming shipping documents for correctness, notifying sales of errors with shipping documents, receiving incoming documentation into our EW system, backup to the front Admin person (relieving her for breaks, or when out sick or on vacation, filing), sending out daily schedule and putting together the job packets for the field, editing incoming job packets from the field, input profiles when applicable, maintaining a book of assigned customers based on information provided by the sales teams and assigned by the OSR Supervisor,

Responsibilities

1. Preps/Prints work orders (job packets) from sales based on ship dates and pre-arranged template orders that have been scheduled with dispatch which includes prepping orders at least 2-3 days prior to service when templates are assigned.

2. Edits job packets returned from field by on the sales order side as to what was picked up and which is then passed along to sales billing department.

3. Receives incoming documentation from the field.

4. Generates twice daily emails with heads up for schedule, informing of any discrepancies of job packets missing, or if turned in, not on schedule, after final schedule done put together the job packets for the appropriate field personnel and put in their mail box.

5. Checks incoming documents, hazardous or not, for correctness, works with sale and field personnel when discrepancies are found so they can be corrected.

6. Generates outbound loads for waste leaving our 10-day hub going to other ACT 10-day hubs or facilities, this includes, verification of piece count with our dock personal, copying and emailing our other 10-day braches and other non-ACT branches of the upcoming loads.

7. Entering the outbound loads in EW transfer tabs

8. Maintain book of assigned accounts detailing preparation dates, special instructions, and any other pertinent information which is used to keep track of assigned customers needs for their services that have been setup with pre-existing dates/templates and to allow another team members to back up your accounts as needed.

9. When needed filing transporter copies of BOLs, manifests, Medical Waste Tracking documents, or other methods of documentation in binders.

10. Maintains liaison with sales for issues on orders.

11. Generating reports if needed to support Operations.

Experience and Background

1. Not required, but experience in the hazardous waste industry is helpful.

2. Knowledge and understanding of the English language and grammar.

3. Experience with Word, Excel, Microsoft Office.

Education

High school education or equivalent.

Physical Demands:

1. Sitting: Remaining in the seated position 80% of time.

2. Stand/Walk: Remaining on ones feet in an upright position and/or walking 12% of time.

3. Lifting: Raising or lowering an object from one level to another (includes upward/overhead) Under 5 lbs

4. Stooping: Bending body downward and forward by bending spine at the waist, requiring full use of the lower extremities and back muscles 1% of time.
