The Job/What You'll Do:

Provide administrative support to the enterprise. Administrative Assistants duties will include, but are not limited to, providing support to our leadership team members and employees, assisting in daily office needs and managing our company's general administrative activities.

Work hours: Monday through Friday 8:00 AM to 5:00 PM

Responsibilities:

  • Administrative support to include calendar management, meeting notes, presentation development, travel arrangements, credit card reconciliation, expense reports and other duties as assigned.
  • Acting as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Managing incoming and outgoing mail, postage requirements, and various clerical functions as requested.
  • Secondary coverage of reception desk, answering telephone, greeting visitors and directing questions to appropriate departments or staff for resolution.
  • Coordinating meeting requirements including preparation of agenda, presentation, meeting room reservations, water, refreshments, or lunch as needed.
  • Coordinate with facilities on facility related issues such as, fax machines, printers, A/C, workstation furniture repair.
  • Assist with tours, site visit, event planning, and assessment logistics as requested (book hotels, air, dinner, create agendas, schedule employees, order meals for meetings).
  • Anticipate need of and maintain office and break room supplies.
  • Provides secondary support to the Executive Assistants and Board Liaison.
  • Assist in managing and communicating Employee Recognition programs.
  • Other duties as assigned

  • Ability to act professionally and maintains appropriate boundaries with clients and staff.

Education & Experience:

  • 3-5 years of experience in Administrative Support,
  • GED/High School Degree, Required

Working Conditions:

While performing the job duties in the office or at a home office, the employee is frequently required to stand, walk, sit, and use hands; they must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Exposure to noise typical with office operations. Ability to hear and speak.
