Job Description
Responsible for the transition of new accounts into Newmark's lease administration business line as well as supporting a variety of M&A and other projects that develop within existing accounts. The Transition Manager is a part of a team who, together with the Director, support all lease administration transition projects. The Transition
Manager is responsible for the planning, organization, oversight, and control of the activities of the service line under supervision, so as to optimize the utilization of all resources under his/her control. They will participate in formulation of overall service line objectives, policies and plans appropriate to the scope of services for each specific
Transition client.
Serve as a central point of contact for the integration of new lease administration accounts into Newmark.
Assist account management with the coordination, implementation and transitioning of new integrated
Accounts and the development of key client relationships.
Displays proactive leadership, knows all transition responsibilities, and can execute independently without
supervision.
Work with new clients to ensure a smooth implementation of lease administration and technology
services, including the development and implementation of repeatable real estate processes.
As required, assist in contract negotiations, acting as a subject matter expert (SME) with client's legal,
Newmark's legal and others as necessary.
Assist senior management with the ongoing support of existing accounts for special projects, data quality
validations, M&A activity, and other activities.
Responsible for achieving transition objectives and performance indicators; resolving obstacles to timely completion of all Lease Admin transition milestones
Escalation point for clients, brokers, senior management, and project teams
Recognizes, evaluates, documents, and applies lessons learned throughout the various processes
Responsible for hand-off to Account Team and assists with any workflow stabilization
Assists with, participates in or leads the pursuit process, representing qualifications of the Lease Admin Team
Develops and maintains transition presentation materials and transition client customized playbooks for multiple technology platforms and for Tier 1 & 2 levels of service.
Develop and follow transition project plans for each client, achieving all critical milestones.
Lead transition planning efforts post-award prior to Kickoff, including team mobilization
Prepare meeting notes and agendas for weekly, quarterly, and annual client meetings.
Coordinate team members' internal and external client transition meetings, including initial kick off meetings.
Train end users (lease administration and clients) on lease admin technology platforms and processes.
Ensure contract obligations are met and transition deliverables are satisfied using the GTT best practices, tools, and processes
Responsible for planning efforts leading up to Transition Kickoff; hosts client facing transition kickoff events
Can predict possible risks and proactively develop mitigation plans with the appropriate stakeholders
Has full oversight and responsibility to control the transition budget preventing scope creep, mitigating any deviation, and providing all required invoicing and reporting
Possesses hands-on experience with various Lease Administration software packages - Harbor Flex, Visual Lease, Tango, CoStar, ProLease, LeaseCalcs, Tririga, Manhattan and willing to learn new platforms as warranted.
Manage project closeout process including Transition Improvement Process (TIP) completion and operational handoff to account leadership.
Work with technology team to ensure database configuration, reporting and required functions needed for lease administration services are assessable.
Support ongoing account teams with process enhancements, data quality checks, reporting and training, and compliance requirements.
May perform other duties as required and assigned.
Responsibilities
Bachelor's degree preferably in Real Estate, Business, Marketing or related field.
Minimum 8 years' experience in a corporate real estate environment.
Minimum 3 years' leadership experience
Background with lease administration systems' implementations, or other complex projects.
Excellent communication and interpersonal skills, ability to interact effectively with various levels within the
business, including senior management.
Expertise in presentation, oral communication, and written response.
Must possess the ability to adapt to various written formats - concisely, clearly, and factually to convey what is required.
Understands the impacts and effects of managing time, expenses, and transition budgets.
Working knowledge of commercial real estate principles and financial concepts.
Proven diligent worker with a high standard work product.
Must have a proven ability to handle multiple, concurrent projects and clients.
Capacity to work in a demanding, deadline and results driven environment.
