We are looking for an organized and dynamic individual to join our team as an Executive Office Manager. This role will provide high-level administrative support to the Senior Leadership Team and Physicians. The Executive Office Manager will ensure effective communication and information flow, arrange meetings, manage calendars, and handle confidential information with discretion. This position will also serve as the point of contact for maintenance requests and represent the practice as a Patient Advocate.

DUTIES & RESPONSIBILITIES :

  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Assist with calendar management, requiring interaction with both internal and external executives, assistants, and candidates to coordinate a variety of executive meetings and interviews.
  • Responsible for recording the minutes for meetings/committees as necessary.
  • Update and maintain provider away calendar and other calendars.
  • Create and implement purchasing process, to include ordering supplies, office furniture, and equipment, ensuring cost efficiencies and obtaining appropriate approvals.
  • Provide support to Human Resources and Finance by maintaining position control, contract management, subscription tracking, and other data entry as needed.
  • Point of contact on maintenance requests; track and log requests.
  • Coordinate administrative needs, including moving offices and maintaining inventory of items in storage, as well as support for various mailings and ensuring distribution of mail.
  • Serve as Patient Advocate, resolving issues independently as appropriate, and logging feedback.
  • Ability to maintain confidentiality of all medical, financial, operational, and other information.
Requirements
  • Bachelor's degree in business related field preferred; Will consider experience in lieu of education.
  • Preferred candidates will have 3-5 years' experience as an Executive Assistant in a physician medical practice, healthcare or health related field.
  • Highly proficient in a variety of software: Microsoft Office Suite, Adobe, HRIS, etc.
  • Excellent written and oral communication skills; Ability to compose and critique proper business communications and other materials.
  • Ability to handle confidential details and/or sensitive conversations, including but not limited to all medical, financial, operational, and other information.
  • Proven track record of superior organizational and critical thinking skills.
  • Ability to work with staff at all levels, while remaining proactive, resourceful, and efficient, with a high level of professionalism and discretion.
  • Proven ability to take initiative, be resourceful and creative in problem-solving, and ability to be diplomatic in all levels of communication.


COMPENSATION: The compensation range for this position is $65,000 to $75,000. Actual compensation within that range will be dependent upon the individual's skills, education, experience, and qualifications.
