As an Administrative Executive Assistant, you will provide high-level administrative support to executives within the organization. You will be responsible for managing schedules, coordinating meetings and events, handling correspondence, and performing various clerical tasks to ensure efficient operation within the executive office.

Responsibilities:

  1. Calendar Management: Coordinate and manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
  2. Meeting Coordination: Organize and schedule meetings, conferences, and special events, including arranging venues, catering, and logistics.
  3. Communication: Act as a liaison between executives and internal/external stakeholders, handling correspondence, emails, phone calls, and other communications.
  4. Document Preparation: Prepare and distribute agendas, memos, presentations, and reports for meetings and presentations.
  5. Record Keeping: Maintain accurate records, files, and databases, including confidential information, ensuring data integrity and security.
  6. Travel Arrangements: Coordinate travel arrangements, including booking flights, accommodations, and transportation for executives and team members.
  7. Expense Management: Process expense reports, reimbursements, and invoices, ensuring compliance with company policies and procedures.
  8. Office Management: Oversee office operations, including ordering supplies, managing equipment, and coordinating maintenance as needed.
  9. Project Support: Assist with special projects and initiatives as assigned by executives, providing research, analysis, and administrative support.
  10. Administrative Support: Provide general administrative support, including answering phones, filing documents, and other clerical tasks as needed.

Qualifications:

  • Proven experience as an administrative assistant or executive assistant, preferably in a corporate environment.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks and multitask effectively.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with all levels of staff and external contacts.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Discretion and confidentiality when handling sensitive information.
  • Ability to work independently with minimal supervision and as part of a team.
  • Bachelor's degree in business administration, office management, or related field preferred.
