Employment Type:Full timeShift:Day ShiftDescription:POSITION PURPOSEThis position provides administrative and secretarial support for providers and nursing staff. Independentjudgment is required to plan, prioritize, and organize daily workload, incorporating any changes in officepractices or procedures.ESSENTIAL FUNCTIONS AND RESPONSIBILITIES1. Follow up to all calls, emails, and (EMR) correspondence.2. Schedule Physician, PA, and Nursing appointments.3. Schedule any study or test appointment requested other than those ordered at time of the patientcheck-out. This would include anything missed at check-out or delayed by other issues.4. Schedule procedures to include related appointments and referrals. Joint case patients needingpre-op consults. Arrange for and confirm medical/anticoagulation clearances.5. Schedule sales reps meetings6. Chart preparation for Physician, PA, and Nursing clinics (obtain related notes, reports and confirmthat outside are available for review.)7. Coordinate inmate appointments, both on-site and off-site locations.8. Coordinate depositions and meetings for physicians.9. Coordinate with Extended Care Facilities for patients.10. Confirm all arrangements made with patients and / or caregivers by phone, mail or email.11. Process surgery packets to billing office, hospital offices.12. Provide surgery-related updates to, PA's and Nursing.13. Update case managers, disability carriers and provide notes.14. Update schedules in the following areas to include; on call, vacations, holidays, meetings,surgeries, clinics, and personal appointments.15. Obtain OR notes and discharge summaries, older summaries when needed.16. Check for HMO authorizations for new patient scheduling and follow up visits.17. Upload and process Physician and PA's transcription.18. Cross-cover the other Secretaries /Coordinators or Operator as needed.19. Scan records and reports to patient charts.20. Manage Physician call-back reminders.21. Arrange for interpreters, when needed.22. Performs all other duties and projects as assigned.23. Maintains good rapport and cooperative relationships. Approaches conflict in a constructivemanner. Helps to identify problems, offer solutions, and participate in their resolution.24. Maintains the confidentiality of information acquired pertaining to patient, physicians, colleagues,and visitors to St. Joseph Mercy Health. Discusses patient and hospital information only amongappropriate personnel in appropriately private places.25. Behaves in accordance with the Code of Conduct, Service Excellence Standards, and theMission, Vision and Values of SJMH.26. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practicesimmediately to management.OTHER FUNCTIONS AND RESPONSIBILITIESPerforms other duties as assigned.REQUIRED EDUCATION, EXPERIENCE AND CERTIFICATION/LICENSUREEducation: High school diploma or equivalent combination of education and experience. Associatedegree and additional formal clerical and computer training desirable.Experience: 1 to 2 years of related work experience.Certification/Licensure:REQUIRED SKILLS AND ABILITIES1. Telephone skills and ability to operate office equipment such as personal computers, copiers, faxmachines and printers.2. Interpersonal skills to effectively communicate with a wide range of staff, physicians, medicalprofessionals, patients, visitors and other organizational personnel, in order to relay and obtaininformation.3. Analytical skills to gather and interpret routine data, maintain moderately complex records, andcompile/calculate routine billing, payroll and/or statistical figures.4.
