Essential Functions

These are the job duties required of the position.

Essential Functions
  • Partners with supervisors to effectively handle and address routine and complex employee relations matters and violations including, but not limited to: absenteeism, unsatisfactory job performance, probationary period issues, departmental reorganizations and layoffs.
  • Refers issues to Associate Vice President, Human Resources, and Internal Audit as appropriate; interprets and explains human resources policies, procedures and progressive disciplinary steps to supervisors and employees.
  • Consults with supervisors on preparing routine and complex employee relations related correspondence such as: documenting verbal warnings, preparing written warnings and suspension letters, and completing performance evaluations forms; meets with employees individually or in groups to address employee relations issues, to include in person and virtual meetings, and traveling to various offices.
  • Assists in managing the University’s performance evaluation program for staff and administrators and oversees job evaluation process; includes working with supervisors to understand the process and supporting supervisors with compliance; tracking form submissions and following up with supervisors on employees with performance deficiencies.
  • Administers grievance procedures; provides advice and counsel to managers and supervisors regarding personnel practices, and policies and procedures.
  • Administers unemployment insurance processes; represents the University in unemployment hearings.
  • Performs personnel related investigations in consultation with the Senior Manager, Benefits, EEO/ER, to include interviewing employees, researching and collecting data, preparing reports of findings using Microsoft Word and Excel, and making recommendations.
  • Researches and assists in the development and writing of human resources policies and procedures including, but not limited to, preparing content for handbooks, memos, and the HR website.
  • Tracks probationary periods for new employees and is responsible for three-month follow ups with supervisors prior to probationary period end dates.
  • Assists with developing, facilitating and tracking employee training programs related to employee relations and policies and procedures compliance.
  • Schedules and conducts exit interviews with non-academic staff, as needed; utilizes the Banner HR/Payroll System and PeopleAdmin to access employee or applicant data and extract reports in Excel.
  • Prepares and maintains Employee Relations Records.
  • Collects data and prepares reports; to include but not limited to the annual Racial Analysis of New Hires.
  • Conducts investigations related to EthicsPoint (Hotline) complaints as assigned. Provides administrative supports related to EthicsPoint (Hotline) complaints. Updates the electronic system records as needed and maintains communication with investigators for timely entry of updates. Closes electronic records, as directed by supervisor.
  • Processes Employee Separation requests submitted via DocRoute.
  • Coordinates, plans and executes all aspects of the Employee of the Quarter Program.
  • Manages and coordinates all aspects of the Grievance and Appeal Process to include communication with the appellant and all the applicable reviewers; coordinating the hearing date/location, participants and witnesses, documents, and services needed; and preparing and distributing correspondence and documents related to the hearing.
  • Supervises, trains, leads and oversees a customer-oriented front desk staff to include assigning duties, checking work, preparing evaluations, approving time off and handling disciplinary issues.
  • Maintains and respects the confidentiality of information of University employees, dependents, financial information and other sensitive information; and to abide by the regulations regarding privacy and security of health information as mandated by HIPAA.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and additional hours as required.
  • Related duties as required.
