Overview

Schedule: Monday - Friday 8am - 1pm


At Velociti Services a Facilities Coordinator is responsible for reviewing Technician Work Order Services to customer locations and as an administrative assistant to Account Lead. This position will also include additional business functions such as: performing moderately complex accounting activities associated with maintaining a complete and accurate service tracking system. Works under general supervision following clearly defined procedures and policies.



Responsibilities

Essential Duties & Responsibilities

Vendor Coordination

  • Coordinate maintenance repair work orders with vendors and as needed Facilities Engineering, Asset Management, and/or tenants. Includes obtaining and reviewing quotes, follow up for revised quotes if needed, coordinating authorization from Asset Management, scheduling, problem resolution, and post-service activities.
  • Manage shared calendar to ensure accurate reflection of all upcoming work.
  • Monitor shared calendar daily to confirm that scheduled work has commenced and/or been completed.

Property Inspections

  • Weekly property inspections of public and common areas visible to tenants and visitors. Involves inspecting for deficiencies including but not limited to the following: burnt out lights in lobbies, hallways, restrooms, building exterior, etc.; spills or stains on flooring or upholstered finishes; smudges on walls; doors – in need of adjustment due to slamming, squeaks, or creaks; damaged signage; irrigation leaks; trip hazards.
  • Enter Work Orders into computerized maintenance management system (CMMS) immediately after property walks. As much as possible or as appropriate, attach photos to Work Orders.

Administrative Support

  • Support the Facilities Engineering and Asset Management in managing work orders in CMMS. Review and prioritize open work orders for follow-up and attention based on age, status, or other factors. Perform appropriate follow-up until work order is closed.
  • Scheduling meetings regularly for Asset Managers and/or Engineers with tenants and/or vendors.
  • Maintain organization and tidiness of the Engineering Office and Shop
  • Card key audits at least once per year
  • Place orders for supplies and/or pick up orders from local suppliers
  • Special projects as needed


Qualifications

Required Experience & Core Competencies

  • 2-5 years of experience in administrative support type role—preferably in a professional office setting, or luxury service/hospitality
  • Exceptionally organized and detail-oriented
  • Pride in providing best in class customer service
  • Strong and professional communication, written and verbal
  • Resourcefulness
  • Intermediate proficiency in Outlook, Excel, and Word
  • Working proficiency in Adobe Acrobat, Bluebeam Revu, or similar
  • Working proficiency with CMMS, preferably MRI Angus
  • Valid TX driver’s license

Physical Requirements:

Applicants for this role must be able to:

  • Able to hear and speak on a telephone.
  • Close visual work on a computer terminal.
  • Dexterity of hands and fingers to operate any required computer keyboard, mouse, and other technical instruments.
  • Able to lift and carry up to 25 lbs.
