Job Description

SUMMARY

The Occupancy Specialist is responsible for monitoring and enforcing occupancy activities as required by the Admissions and Continued Occupancy Policy.

DUTIES AND RESPONSIBILITIES

  • Manage, monitor, and audit multiple public housing waiting lists.
  • Conduct audit and issue a written report that outlines compliance and non-compliance issues.
  • Filter and issue waiting lists to management staff and Property Rental Assistant leasing team.
  • Ensure that job related policies and procedures are followed.
  • Receive and process pre-applications/application for public housing.
  • Process property management requests for continued occupancy.
  • Provide applicants with application updates and application statuses.
  • Participate in the mitigating hearing process.
  • Provide customer service to clients currently on or applying to become a part of the public housing programs (i.e. servicing clients in-writing, in-person, and over the telephone).
  • Perform data entry functions.
  • Communicate with other internal and external customers to complete day-to-day occupancy functions.
  • Develop working relationships with internal and external teams.
  • Provide research for special projects.
  • Reply to applicant and resident related comments, concerns, and inquiries.
  • Provide statistical data on a weekly, bi-weekly, monthly, or annual basis
  • Provide recommendations regarding improvements in policies, procedures, and productivity.
  • Assist with internal or external auditing exercise[s].
  • Conduct an analysis of leasing activities within portfolio.
  • Create various letters and reports in Microsoft Excel, WORD, and PowerPoint.
  • Create and maintain applicant/resident records [physical and electronic]; and when needed provide records to property managers.
  • Coordinate leasing activities for the Rental Assistance Demonstration program.


QUALIFICATIONS

Bachelor's degree in public policy, business administration, public administration or related field. The incumbent must possess highly effective communication and customer service skills. Experience communicating with and providing assistance to persons with disabilities. Working knowledge of public housing Occupancy Standards, HUD regulations, CHA policies including Fair Housing and all federal laws and regulations that prohibit discrimination against individuals with disabilities is highly preferred. This position requires advanced verbal and written communication skills, effective problem solving and organizational skills, and the ability to exercise objective judgment and discretion, ability to meet and enforce deadlines, and the ability to multi-task. Strong computer skills are also required (Microsoft Word, Excel, and PowerPoint, data entry). Knowledge of Yardi housing management system is highly desired.

Hourly rate: $27.13

Grade: 61U
