Position Summary

Reporting directly to the Director of the Center for Community Schooling in the School of Education & Information Studies (SE&IS), the Community Schools Program Coordinator serves as a programmatic team member in maintaining communication, ensuring positive working relationships, coordinating events, and managing project deadlines related to all the implementation of educational partnerships programs with schools, school districts, county offices, international efforts, and other joint ventures that support our K-16 education partnership efforts within UCLA's Center for Community Schooling office together with efforts directed by UCLA's School of Education & Information Studies.Program/Project responsibilities include the coordination and implementation of educational programs within the Center for Community Schooling, including serving as a liaison with districts, facilities, and participants for all extramural activities; and assisting in the coordination of professional learning activities for students, caregivers, teachers, and education leaders, including maintaining a database of engagement and on-going communication with all partners involved. Fiscal responsibilities include analyzing financial activity for student impact programs, research projects, professional development contracts, and developing monthly financial reports to deliver an accurate accounting of information to the PIs, Project Directors, the Director of Business Administration, and other fiscal partner leads, including financial and administrative management of grants and sales and service accounts totaling approximately $1,700,000 annually. The Community Schools Program Coordinator will work in partnership with the Center for Community Schooling leadership to ensure that the program/project(s) operate in accordance with the various funding sources available.The position will require UCLA on-campus and off-campus school settings depending on team assignments and may involve evening and weekend commitments as necessary to ensure successful project completion.

Demonstrated experience with project management, including setting priorities, solving problems, and working independently. (Preferred) Demonstrate working knowledge of accounting principles and computerized purchasing and accounts payable systems. Ability to work responsibly and accurately with detailed information including: financial data and calculations, contract clauses and performance dates, and other numeric narrative information. (Required) Independently determine appropriate personnel to handle action items; monitor status of tasks and follow through to completion. Ability to conduct effective small group meetings with project support staff to plan, schedule, and coordinate workflow. (Required) General office management skills to oversee operations and implement efficient office systems. Ability to identify methods increased efficiency in working operations and propose modifications. (Required) Ability to deal with confidential and sensitive information with discretion, and to maintain professional working relationships with sponsors, industry, government, the UC and other academic and corporate institutions. (Required) Excellent interpersonal skills, communication skills, and usage of language to clearly convey information verbally and in writing. Ability to present persuasive arguments and use negotiation skills to achieve mutually agreeable solutions. (Required) Demonstrated ability to work as part of a team and assist other administrative support staff with clerical and administrative tasks as needed. Skill in accounting to understand budgets and make necessary adjustments and projections. (Required) Ability to accept delegated work, validate expectations, problem-solve obstacles, and follow-up to completion and/or report status of delegated tasks. Ability to work independently, meet fixed deadlines, and follow through tasks to completion. (Required) Demonstrated ability with University on-line financial systems/ledgers including BRUINBUY, TOF, and OFSR. Working knowledge of University policies and procedures such as accounting, travel, purchasing, facilities, mail and expedite tasks with associated central offices. (Preferred) Demonstrated ability to efficiently use Macintosh and PC computers with advanced working knowledge in Excel and Microsoft Project or equivalent project management software; demonstrated knowledge of Word, PowerPoint, and FileMaker Pro. (Required) Strong organization skills to set priorities and work with frequent interruptions. Ability to work some evenings and/or weekends. Ability to drive to various school sites on a regular basis. (Required)

Education, Licenses, Certifications & Personal Affiliations

Bachelor's Degree B.A/B.S or equivalent combination of education and experience. (Preferred)
