Office Manager and Program Analyst (Job Number:421615)



Perform as an Office Manager and Program Analyst on a successful System Engineering and Technical Assistance (SETA) and System Integration (SI) team on a new, multi-INT national program.

Apply your skills working at the customer program office. Work with government leadership & staff:

- Be vigilant in reminding Program Manager and Deputy PM about populating their calendars, may maintain calendars for them

- Follow up on meetings and actions with external agencies, including when dates fall through and need rescheduling

- Provide financial support to customer by reviewing intra-government MIPR funding, annual funding planning, and out-year planning for various budget data calls and questions from staffers

- Provide property and inventory management

- Coordinate with network staff and assist people in getting new accounts on multiple systems, and with network equipment re-capitalization / replacement

- Facilities support when program office needs to get new computers, supplies, repairs ordered, scheduling workmen and escorting them

- Update new employee handbook , cables, folder access requests, etc

- Provide program analysis support by reviewing contractor proposals and providing government with analysis of compliance with the Statement of Work (SOW) and Work Breakdown Structure (WBS), cost, hours and any discrepancies or issues

- Provide support to meetings by circulating agenda, taking minutes and publishing them for the record

- Track versions of program video and overview briefing on several classified networks to ensure the most recent versions are deployed. Post updates to SharePoint.

- Track action items and contact actionees for resolution

- Work with Configuration Manager (CM) on Senior Management Group (SMG) meetings

- Track Contract Delivery Requirement List (CDRL) items for SETA review and customer approval.

- Update/maintain training materials and welcome package for new customer staff

- Work with new staff to request their phones be set up and accounts set up.

- Maintain conference room reservations

- Update program manager and deputy PM calendars on multiple systems

- Provide timecard support to customers

- Provide travel and expense report support for customers

- Escort uncleared visitors

- Maintain phone list




- TS/SCI clearance with poly
- BA/BS Degree or equivalent work experience
- 5-15 years of experience providing administrative, office manager, and/or executive assistant support, to government customers including creating meeting agendas, taking minutes and maintaining official copies / document library
- Strong skills in Microsoft Office (Word, Power Point, Excel) and Outlook (email, calendars)
- Experience using SharePoint
- Experience with Intelligence Community organizations
- Positive personality able to work with many types of people
- Responsive to deadlines and completeness in accomplishing assignments


- Experience in Configuration Management
- Experience with finance and/or accounting
