Position Description
CGI Federal is seeking a Bilingual Front Desk Coordinator to support the Office of Violence against Women Division of the Department of Justice. Your future duties and responsibilities
Acting as the first point of contact for all visitors to the Office on Violence Against Women.
Serves as the main point of contact for all victim callers. Referring them to the appropriate stakeholder for assistance.
Meet and greet stakeholders and guests in a friendly and courteous manner and inform the relevant staff member of their presence in a timely manner.
Maintain OVW visitor log in accordance with DOJ security policies and procedures.
Carry out all telephone services for OVW including receiving incoming calls, screening calls, and connecting them to the appropriate person.
Manage OVW office directories and contacts, including the OVW Staff Emergency Contact Listing.
Serves as main POC/Owner of the office-wide calalendar(s). Schedules meetings and reserves conference rooms for OVW staff and managers, and coordinates high-level meetings as needed.
Provides general information from the OVW website about the office to the general public.
Provide assistance to senior managers and staff by assisting with other administration tasks as requested.
Contributing to the provision of high quality and accurate administrative services through operation of desktop computer and various software in the production of reports, letters, memoranda, and other documents as required.
Provision of general administrative support such as photocopying, filing and fax services.
Attend to incoming and outgoing mail according to current OVW policy and procedures.
Serves as point of contact for all special messenger/courier services and maintain special messenger log and facilitate deliveries.
Provide backup to the Administrative support staff and other roles as required.
Undertake project based work as directed.
Required qualifications to be successful in this role
1 to 2 years? experience as a receptionist or related experience.
Bilingual ? able to speak, write and fully interpret English and Spanish
Ability to successfully complete a corporate Background Investigation to include; 50 State Criminal, Education, Employment, Credit and Driving Records Checks
Ability to obtain a Moderate Risk Public Trust; candidates with an active Secret or Top Secret clearance preferred.
Excellent written and interpersonal communications skills
Experience with various software, i.e., Windows XP, WordPerfect, MS Word, Lotus 1 2 3, Excel, and Quattro Pro
