About the Position:
To manage the Work Support group to support the operations function in order to enable the most efficient flow of work for National Grid and to provide successful leadership and direction for the entire portfolio of work activities. This work includes but is not limited to managing all support activities related to mandated programs, work coordination (work order generation and closure), time entry and permitting for the Downstate NY Region.
Position Responsibilities (including but not limited to):
Manage the process for work order creation and close-out (Maximo).
Ensure the timely, accurate update of time entry into CATS/SAP for Gas Operations (Maintain, Construct, etc.).
Interact with Municipalities to facilitate the permit process. Negotiate fees and restoration requirements. Work with Legal to resolve outstanding judgments. Secure road opening permits to facilitate the installation of gas facilities by proscribed customer due dates.
Coordinate the timely scanning of all LI and NYC gas service cards, and NYC street opening permits.
Manage and coordinate data activities, maintenance functions, and quality control of systems including CSS, Maximo, Fortis, and E-Permit in order to deliver professional, high quality and reliable service.
Develop and maintain effective relationships with key stakeholders in order to share record keeping best practices and manage expectations.
Oversee the operational workload of team; ensuring allocated staff is fully utilized in order to deliver against agreed program of work in a timely manner.
Continuously seek ways to do things better in order to drive greater efficiencies within assigned area.
Utilize established financial systems to create, process, and close invoices and work orders in order to manage and control specific cost variables.
Keep up to date with new and emerging technologies and methods within own discipline in order to ensure the optimization of best practice for National Grid.
Produce high level and detailed business models to support senior management in defining strategies relevant to records management.
Motivate, coach and challenge subordinates to create a continuous improvement environment and performance based culture.
Provide professional, high quality and reliable service, delivered in a consistent way using efficient processes with a “local feel” that permeates to and from the field.
Provide logistical, administrative and management support for all mandated program activity to ensure US Gas Distribution meets its legal and regulatory obligations. Ensure 100% compliance.
Continuously seek ways to streamline the flow and volume of work in order to drive greater efficiencies within assigned area.
Develop and maintain effective relationships with key stakeholders in order to ensure all work support functions and processes are prompt and accurate.
Monitor and review work undertaken across a number of work support projects in order to ensure appropriate use of materials, tools, equipment or resources and adherence to schedules.
Manage the day to day relationship with business areas in order to understand their work support requirements and deliver appropriate solutions, in line with National Grid policies and processes.
Knowledge & Experience Required:
Bachelor’s degree in a technical discipline, or equivalent experience. MBA preferred.
Leadership experience of at least 3-5 years, preferably at manager level.
Knowledge and experience in scheduling, operations, work coordination and clerical support.
Proficient in relevant computer systems and applications.
Demonstrates the ability to network internally and externally, and to develop successful, long-lasting business relationships with others.
Demonstrates strong interpersonal skills including project management, negotiations and communications.
