Essential Job Functions:
The Judiciary Clerk assists the public by providing procedural information, completing various documents, and verifying documents for completion and accuracy. Creates new cases in the system and enters all domestic violence and peace and orders cases in DV office and MDEC. Answers all questions related to the domestic violence process. Prepares the daily docket for the courtroom. Accepts and processes motions, shielding requests, and other assigned duties.
Essential Duties and Responsibilities:
Assist the public at the information counter on how to file for protection, extreme risk protection, peace orders, postponement requests, motions for modifications, rescinding orders, and shielding requests. Respond to inquiries regarding court policies and procedures at the counter and via the telephone.
Prepare the daily docket. Search and collect related case files and history using DV office. Search MDEC (Odyssey) for respondent's criminal history for open warrants. Communicate with the commissioner?s office regarding missing and voided files. Verify that docket sheets and judges? worksheets are complete and accurate. Give the supervisor a count of the commissioner's files that came in for the day. Give the administrative assistant the docket count/breakdown for the following day (total cases, how many interims, how many cases in courtrooms 2 and 6). Compile and maintain daily and monthly statistics for the DV monthly report. Make copies and distribute various information center, judge chambers and supervisors. Clerk is responsible for checking DV/Odyssey to make sure all cases have been processed. Responsible for logging into the assigned queue to process incoming work.
Process and mail copies to petitioners, respondents, attorneys, Department of Child Protective Services (DSS) and law enforcement. Process appeals and transfer cases to various District and Circuits of various counties.
Receive telephone calls on behalf of the court and respond to emails.
Scan return of service paperwork into Odyssey, update DV office and Odyssey with status of the service. Research information in order to effectuate out of county/state service of documents by law enforcement.
Minimum Qualifications:
Education: High School Diploma (or GED equivalent)
Experience: One (1) year of work experience, preferably in court operations or in the fields of criminal justice, parole, and probation, legal or financial services.
Note:
? A bachelor's degree may substitute the required work experience.
? A Paralegal/associate degree or 60 college credits may substitute the required work experience.
? A Paralegal Certificate may substitute the required work experience.
Knowledge, Skills, and Abilities:
Knowledge of:
General office practices, procedures, and equipment
Standard legal forms and documents used in the Judiciary.
Basic English and arithmetic to include but not limited to spelling, punctuation, addition, subtraction, multiplication, and division.
Skill in:
Customer service and handling problems tactfully and with patience
Typing on a personal computer
Ability to:
Use standard office and business equipment including but not limited to personal computers, word processing, database software, copier, scanner, fax machine etc.
Use and maintain alphabetical and numerical filing systems.
Communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and court personnel verbally and in writing.
Understand and abide by departmental rules, regulations, and procedures,
Exercise tact, diplomacy, and impartially in dealing with the public and agencies doing business with the court.
Follow procedures, verbal and written instructions, and protocols for any given assignment.
Use proper grammar, punctuation and spelling.
Exercise independent judgment in interpreting and applying appropriate policy, procedure, rule, law and/or regulation to a situation.
Physical Requirements:
Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
Equipment, Machinery and Tools:
Personal computer, fax, scanner and telephone, copier, and telephone
A personal computer will be used to process cases; it's also used to search for case related information.
A fax will be used to send orders to the police and sheriff's department in other jurisdictions, send DSS report request, send case that are being transferred to other jurisdictions.
A scanner will be used to scan documents into the system and email accordingly.
A copier will be used to make copies for the public, attorneys, police, and sheriff's department as needed.
The telephone will be used to communicate regarding case related concerns.
Software and Computer Skills:
The staff will use MDEC(Odyssey) to enter the walk-in petitions, also to retrieve the judge's orders for the temporary or final peace and protective order hearings to give to the respondents, petitioners, police, and sheriff's departments.
Clerks? office will also use MDEC.
SharePoint will be used in the event the clerk offices will need to correspond with another District Court location.
Microsoft outlook-will be used to send and receive emails, access your calendar.
Microsoft Excel will be used to create and modify documents.
Internet (Microsoft edge) will be used to access internet-based databases, ie. J-portal, JIS security training, Connect etc.
