Position Description:

Position Summary:

The primary focus of the Planner/Scheduler is to maximize the efficiency of maintenance operations by thoroughly analyzing all repair orders to determine the precise scope of work and required resources. This ensures that all service activities on Gorman Group equipment are performed with high quality and in a timely manner. The Planner/Scheduler is also responsible for developing and managing comprehensive maintenance schedules to optimize workforce and equipment availability.


The Planner/Scheduler’s daily decisions are critical in enhancing the efficiency of maintenance resources, reducing overall maintenance costs, and increasing equipment reliability and uptime. By aligning planning efforts with operational goals, the role directly contributes to the improved performance and productivity of the maintenance team and the organization as a whole.


Essential Functions:

The following list is intended to be exemplary of the primary responsibilities related to the position, however it is not exhaustive of all day-to-day functions. The applicant will be required to perform any or all of the following roles:


  • Work Order Planning: Review and prioritize all accepted work orders. Develop detailed job plans and packets including required manpower, estimated duration, safety procedures, tools, materials, equipment, and technical specifications.
  • Job Standards & Compliance: Establish job standards to ensure work is executed efficiently, safely, and in full compliance with regulatory requirements.
  • Inventory Coordination: Collaborate with the Inventory Department to maintain accurate part kits, adjust min/max stock levels, and request capital spares in alignment with Maintenance, Repair, and Overhaul (MRO) standards.
  • Bill of Materials (BOM): Create thorough BOMs for maintenance tasks to support the kitting process and ensure part availability within scheduling timeframes.
  • Resource Planning: Utilize CMMS history, maintenance expertise, and input from subject matter experts to estimate manpower needs and time requirements for all repair orders.
  • Standard Procedure Development: Create and continuously improve standardized procedures for Preventative Maintenance (PM) and recurring Corrective Maintenance (CM), incorporating MTBF/MTTR data and feedback from technicians and supervisors.
  • External Repairs Coordination: Coordinate with Maintenance Foremen and the Equipment Manager regarding parts or components requiring external repair or refurbishment.
  • Request Management: Evaluate and prioritize operator-submitted maintenance requests, including ELD/DVIR write-ups and Work Pending items.
  • Maintenance Scheduling: Produce both short-term and long-term maintenance activity schedules using weekly labor/resource leveling and availability matrices.
  • Schedule Communication: Clearly communicate and manage the maintenance schedule with all stakeholders, including technicians, operations managers, and external vendors.
  • Planning Meetings: Lead weekly cross-functional planning meetings to review workload, equipment readiness, and parts availability, while providing up-to-date status reports.
  • Performance Monitoring: Track and report on Key Performance Indicators (KPIs) such as PM compliance, PM labor percentage, and schedule adherence.
  • Work Scope Evaluation: Apply the "Three T’s" philosophy—Time, Tools, Training—to define scope of work and identify jobs suitable for outsourcing.
  • Audit Oversight: Review and submit completed Maintenance Operator Care Equipment Audits for validation and compliance.
  • Reliability Support: Support all Gorman Reliability Program (GRP) efforts and contribute to related meetings and initiatives.
  • Safety & Organization: Promote and uphold 5S standards for workplace organization, cleanliness, and safety.


Position Requirements:
  • Technical expertise in the areas of equipment, and multiple maintenance crafts with the ability to apply this knowledge in the creation of timely, complete, technically correct, and cost-effective repair plans.
  • Ability to visualize a job and assess needs for non-standard components and equipment.
  • Strong computer skills with experience using Computerized Maintenance Management Software (CMMS) and Project Planning Software.
  • Experience and training with reliability-based programs such as TPM (Total Productive Maintenance) or TPR (Total Process Reliability) and understanding of quality processes such as Continuous Improvement.
  • Ability to maintain effective working relationships with other personnel including technicians, foremen, operators, construction managers, dispatchers, vendors, and contractors.
  • Ability to communicate clearly and concisely in written and verbal form.
  • Ability to read, interpret, and apply information from files, drawings, catalogs, reports, and manuals.
  • Willingness to initiate and embrace change.

Independent Action:

Performs work independently within scope of established guidelines and practices. Consults with Management where clarification or exception to procedure may be required.
